and Jess has had a really interesting journey with AI
and one of the things I love is that we talk about
AI for humans real world results using AI

do you want to just share a little bit about
who you are
what you do and how we came to meet.
Yeah of course
so I'm Jessica or Jess
so I actually work for a
solar cleaning and gutter cleaning company
so EcoKleen Solar and Clearflow Gutter Cleaning

so my boss actually
met Kim through a meeting for other business owners
and after having a bit of a chat with yourself Kim
ah decided that AI
would be something to add into the back end
of our services and what we're doing in the business
and that would help me so
I got to join along
and go to that lovely little meeting with yourself

(01:06):
and learn about how we can add
Chat GPT into the business
and how that can help myself as an employee
but also Joel as the business owner
so that's how our little journey started together
it did yes
You joined us for the AI Your Business Bootcamp
we built some tools together
can you share - you wear a lot of hats in the business
you really are in the engine room

(01:27):
so so what exactly is your role?
what do you do? So I am the sales administrator
so I'm pretty much there to qualify leads
speak with the clients
when they first come through the business
schedule them into
all of the services that we can do for them
and also
I am with the technicians
outside of clients

(01:48):
I'm actually helping with the marketing
side of the business
as well as going through different things with Joel
and how we can expand the business
and even do new services new things
so, I'm almost like a little PA as well
You wear so many hats so many
Joel might even be lost without you
I would say I feel like he would
So before we met though

(02:09):
you've used AI before in business in a previous role
so so what's your relationship with AI before we met?
yes so
I actually used AI
in a few different jobs that I had done previously
to this role
so one of them
I just used Chat GPT to help me with marketing
so just going through for example
like Facebook marketing
and those types of organic posts

(02:30):
and being able to put those in
what wording to use
all of that fun stuff
and I also worked in a role
where I actually got to work on the back end
of the software part of it so
I got to help build automations
and things to help other businesses
be able to utilize
AI in their business and how it can help streamline
different processes and things

(02:50):
for not only themselves
but their employees and their clients yeah
so you you are well ahead when it comes to the AI
adoption journey which is cool
yes
and I heard that there were some whispers in the office
even before Joel and I met
that perhaps it would be useful for you guys to
look at some tools so
I'm really glad that we met
and that you're able to come along
Now, one thing I find a lot of people say

(03:11):
look I'm using Chat GPT
I've got my prompts on
I'm all good because when you compare
that to what was happening a couple of years ago
like it's exponentially useful compared to
doing things manually that we were doing pre AI
and most people use Chat GPT in that way
some people have you know
their brand
voice sorted or a GPT that they're using for content

(03:32):
but how would you say the difference is
with what we did together in the Bootcamp
the tools that you use now
and the way that you use AI now
compared to the way you used it previously?
obviously you know
a few years ago
AI was nowhere near as developed as it is now
and it is rapidly growing and expanding
and obviously
other businesses are using it a lot quicker and easier

(03:54):
I know there was automations
where just a simple text message would go out
or an email
whereas now with what we did in the boot camp
it showed me a difference in what
platform itself can do
I used to just throw a very simple prompt in there
or have a prompt already used
and not know how to make that deeper
and what GPT could do

(04:15):
to further give me more information
but also go through
more depth into what I'm getting back from the GPT
so with what we did in the boot camp
even just seeing that small backend part
and the depth it can do the language it can use
how we can stop it from
giving us things that aren't relevant to our business

(04:36):
or what we
and needing even just from a language point of view
super helpful for me to see
and then to see those different
new prompts
that I honestly would not have thought to use
was also amazing from a marketing side
through to just something I can use every single day
in the office
that helps me keep on track of my own tasks
it was really amazing
cause sometimes you don't think to use that

(04:58):
and it may seem like oh
the the prompts that are already there
they're easy for me to use
but different prompts and the depth I'm getting
from it now is just phenomenal
it's learning what I need to use
and it's making it easier for me to use
but also
someone else in the business can use that same prompt
and that same GPT

(05:18):
but it will work for them in their way
and it will allow them to be more efficient and better
without impacting someone else
and it's just it's fantastic
yeah also
I'm so glad to hear it I knew even during the boot camp
as we were building these tools like yep
I've got it I'm all over it
and I knew that you know
you were 10 steps ahead
you really understood the technical side of it

(05:40):
and you were probably I
I think I could see you sitting there thinking like the
the wheels are turning thinking oh
how I could use this in this way and that way
and this way and yeah
I definitely felt in the Boot Camp flex
seeing the back end in a
I do find I pick things up a bit quicker sometimes
especially having a little bit of that
that background knowledge
but seeing different ways
it could be utilized in a business

(06:01):
as our business grows right now
being a smaller business
and working alongside the owners is fantastic
but we like to future proof
and we like to make sure that we're gonna be ahead
and to see what it can do now in such a small capacity
let alone when we take on more
and we have more people in the business
what it can do would just be

(06:22):
it's just phenomenal to see that
and I was just sitting there thinking all the things
I'm like oh
we can get it to tweak this
to do that and add this to these things
so it's definitely something I'm
can guarantee I will be looking into myself
and creating my own GPT's to be within the business
for when we get to that point
it'll already be in place and that's just

(06:43):
it's so exciting to think about honestly
it is it is we had a consult to choose you know
which
actual tools we're going to design for the business
do you want to share what tools we built and what
they do for you guys
yeah so we have three main tools
so we do have our marketing suite
so that's like our Marketing Bestie

(07:03):
that allows us to actually put together
all of our individual posts
uh based off what we're wanting go out
whether it's on Facebook or Instagram
or any other social media platforms you wanna use
then we also have the content planner for that
so that allows us to put
as many months in advance as we want
and give us an idea of

(07:24):
what type of things we want to put out for that whole
entire month
which is really good
it stops us from having to individually think
all the different things we can put out
and it also keeps a log of that
when we just had a little play around with it
and it allowed us to see
all the things that we can do within three months
that are different to each other
and it won't just you know
replay the same thing over and over

(07:44):
and make it boring for you know
anyone new or anyone old in our business
that's watching our social media
or looking at our content
and there was all
so the side of it
that allowed us to actually create our brand
voice and put them into different
you know avatars for our clients that we're trying
and to get but then also build content
around those avatars as well

(08:05):
we then had some strategic planners as well
so that's gonna be helpful for those bigger tasks
the boss loves it he uses that all the time
this allows us to see yeah
like he puts it in there and he goes
I've just put all my tasks in there
it's great just throwing it in and like perfect
it's also for his bigger tasks as well
so he uses it as a mixture

(08:26):
and that's how he's wanting it
it gives him his daily tasks
but also shows what his overall larger task
that could be six months to a year down the track
but he wants it logged
and he wants it kept somewhere that he can
keep an eye on and then I also have one as well
and then I also have my own little beautiful GPT
so that's my daily task one

(08:46):
and that's my favourite so far
so that one
allows me to go through my task of the day
and get rid of paper basically
so that's been the best thing
it stops me from losing my mind and where I'm at
and potentially forgetting things
and it also gives me
the opportunity to do a summary at the end of the day
to send through to the boss
so
he doesn't need to worry about doing a manual check in

(09:08):
if he's tied down busy doing a bunch of other things
and it's just been fantastic to start utilising
those in the business yeah
that's awesome
so I wanna talk about your favourite GPT in a second
but so going back to that Strategic Partner
I know that Joel the business owner's using every day
so one of the things I love about that
that we discussed previously

(09:28):
is it's the kind of tool where I hope to design it
so that it has an onboarding workflow
yes
which means that you can then give that tool to anybody
in the business whether it's at management level
office admin you know
anybody who's running projects and what have you
and the Strategic Champion AI tool
it helps you onboard

(09:49):
to understand your communication style yes
what language you wanna actually talk to this tool in
and there's a whole bunch of things that you do
as an onboarding so that anybody in
the business
can actually have their own setup for them
and they can operate just within their own custom tool
to help them with,
sure, strategic priorities

(10:10):
plan their day,
make sure that they get those big rocks in
rather than just you know
what did I achieve by the end of the day
so I'm really glad that Joel's adopted that one
and I think he said he's got it on his phone
and he talks to it? He does yes
so he's got on his phone
and he utilises that when he's out and about
cause he will be in the office
sometimes out of the office
sometimes he's in meetings

(10:31):
and he's not even in the office for those
so he finds it so useful on his phone
he's on his phone a lot for answering calls and things
so
it's been great for him to be able to just literally
bring it up on his phone
and just put in there what it needs
his obviously strategic planner chats to him
so different to how mine does
and that onboarding part was phenomenal

(10:51):
seeing the difference between myself and Joel
as we were doing it uh
was quite fun during the Bootcamp
to see how he wanted his to talk to him
no funny business get straight to the point
and I'm just like be casual
be calm with me, throw a bit of a joke in there
like the difference is quite fun
but it was so good
because it's still operates on a base level

(11:11):
the same for us but it speaks to us so differently
and it gives the information to us in ways
we understand better I like having cute little emojis
and I like lists
and seeing things listed out like that
Joel total opposite he's like
no emojis I don't need those
just give it to me as is, like very

(11:32):
very simple at that
he likes it to use the wording he uses
I like it to adopt the wording that I've used
and make it sound better or use certain wordings to
relay that information back to me
so I understand it better
which is so different to him
but it works for us so well
it's great! Awesome, awesome.
I think I've shared also that

(11:53):
I think it was meta that released a report recently
called The Future of Work
and essentially what it was saying is
everybody in the business is going to have a team of AI
agents or assistants
or champions
as I like to call them, that they'll be working with
and you've started really to adopt that model now
pretty much yeah, so having the GPT's in place now

(12:15):
before we truly need them as a
as a larger business
is going to be so much more helpful
in the long run.
There's things that I can do within my hours of work
but outside of that we potentially still lose business
we don't have someone that can answer a phone 24/7
human can do that
and it's good to have the ability to have AI

(12:36):
answer that for us
at the moment we've got, you know
our AI sending out
messages and emails when it is outside of hours
and allows us to still have some
form of rapport starting to build with the client
but if a call comes through
it waits until my next business day
to be able to give them a call back
and someone else could have picked up the phone
someone else could have answered

(12:58):
some other businesses already have
you know, the
the AI
that can answer the phones that's currently doing that
and they can take that call in
and some of them can start booking them
give them quotes
that's something that at some point
we actually want to look into doing as well.
because there's only so many hours in a day
and being able to get those calls
and those clients outside of those hours

(13:20):
is going to be beneficial to any
business, really. Yeah yeah
you're absolutely right and voice AI is definitely here
I know you guys are looking into it
and
the stat that I thought was most alarming about voice
AI is that 60% of people who call
if nobody picks up the phone
60% of the people don't call back

(13:41):
that's very much true
I can guarantee that just based on
you know I'll get a call from new number
and if I didn't answer straight away
I can guarantee they would not call back
if I didn't obviously call them back like I do
but sometimes you know
if you weren't the first person to pick up
they've taken their business elsewhere
which is quite a high you know

(14:02):
60% of those people
that could have been a customer for us
a client that we could have taken
and I can guarantee 50% of those,
60% have gone elsewhere
by the time I've been able to call them back
so having that voice AI
which is obviously we're looking at
at getting will just eliminate
that
us losing those potential people that won't call back

(14:22):
or that
want you to be the first one to answer that phone
yeah yeah absolutely
and as you know Rod and I
the two of us are the partners in AI Collab,
one thing that we talk about is AI
automations like crawl, walk, run
so
crawl is like setting that foundation that we've done
walk is things like client facing AI tools
like voice AI and then after that is AI automation

(14:45):
so the difference between automation
I know that you guys have really great automation
set up already in your business
in your CRM
and that really helps for process and scalability
and consistent customer experience
it really helps a brand yeah
so the difference there is like an automation
and information entered into a CRM
and then zap to a particular system to do a personal

(15:07):
you know little bit of detail to tweak in that
so the trade job booking
and then from there it does a zap to
another link to add some other information
that's a fixed one way information loop
you know that sort of automation
or the sort of automation where
a person comes in via this funnel
and then we send this communication
and that communication and then if they do this

(15:28):
then that there is an AI automation that
actually puts a brain in the middle of the process
so like we were talking about,
having somebody
have a conversation with your voice agent
and then being able to follow up and give the agent
instructions as to what to do
when you actually speak with that person
and then also
know what to do with that information in your system

(15:50):
based on what was said in the conversation
so that's where AI really does come to the fore
when it comes to that crawl
walk run
getting people involved
in the start of the process is really important
but I love that you guys are looking at that future
pacing and where your business is heading
because you guys are are scaling

(16:11):
you're on a growth trajectory
which is really exciting yes
yes no
definitely
having the ability to have the AI
voice actually call back or follow up with a call
instead of just say a text or an email
really allows it to speak to a person
you can only get so much from a text or an email

(16:31):
and it's so impersonal
being able to follow up with those calls
and actually have someone to talk to
is gonna be so beneficial
and that's something that we really do wanna
look at implementing
cause it means that for older clients in the business
and newer clients in the business
there's different ways that the
voice AI is able to actually interact with them

(16:53):
and free me up to do other things in the business
but also take over areas where there's small
little jobs that they take up a lot of time
and it saves me from needing to do all of that
and be able to take on larger roles in the business
so
we're really looking forward to implementing that in
hopefully within the next few months
so fingers crossed. Exciting times exciting

(17:16):
now I wanna get back to your favourite tools
so in the boot camp community recently
you shared that you had one of your best sales days
ever yes
which was awesome
so tell us the story
in the background that you shared with us
so I obviously
very recently just did a sales day of all sales
so it was our top sales day

(17:37):
since I've been within the business
must say very very proud of myself there
but I only was able to do that cause I had the Task AI GPT
in place, if I didn't have that
I would not have been able to do
I think even half of what I did on that one sales day
that pace has not slowed down
like we are still doing big steady days like that

(17:58):
not as high, but we're getting very close
if I didn't have my Task AI
I probably wouldn't have been able to
even secure half those sales
it saved me from writing things down on a notebook
which has been phenomenal for me
because I would get lost
when I wrote things in a notebook
what I've been able to do is I just
throw it into the GPT

(18:20):
and it gives that back to me in a list format
as I've asked it to do, and then
I'm able to just have that up on a separate screen
and I can keep an eye on where I'm at
so I can make my calls and just throw in there
uh quote this person
quote this number, and I just put it in there
let them know, hey,
I'm gonna call you back later today
they're like 'oh,
that's great you're gonna call me,

(18:41):
I love that.' And then
I don't have to worry about going, OK
now I have to mental note
or quickly write down in a notebook that I'm doing
that. I can be on a call with them and telling the GPT,
I need to quote this person
and it holds it all in there for me
and it does not remove it.
I've told it as I've gone through
I've said 'hey,

(19:01):
I don't want you to get rid of something
till I've told you
I've actually finished that for that day.'
and it's adapted to what I needed it to do.
At first that base of it was phenomenal
but it wasn't 100% what I was needing out of it
so I had to tell it
and it had to learn and grow with me,
but after using it for a good month
it has then just taken off.

(19:22):
It has
allowed me to just throw my thoughts and feelings
in there,
all the tasks that I need to get done for a day
and I've not had to worry about
oh, I need you to word this a little differently,
or can you do it like this,
it now knows - and now I can put in
10,000 words of information
and it will give it back to me
exactly as I need to see it

(19:43):
and as I need to action it,
and then I can just go, ' cool,
turn to that, onto the next thing,'
and allow me to still speak with my clients
and comfortably speak with them and call them
and have all the information without losing anything
and without losing momentum either
I did, I think,
30 something calls that day
and I didn't lose one of them

(20:06):
I got every single person either over the line
or at least quoted
and I called them back every single one in one day
and that's not
including all the extra calls I was getting
throughout the day so it's been amazing.
so I would not have been able to have that volume
over a month ago, there's no way.
okay
so what I'm hearing is because it's not a sales tool

(20:28):
it's a productivity tool in essence
but it's helped you stop from task switching
yes and also
it's contained everything you need in the one place
so it's given you the confidence to just
as you say maintain momentum with these calls
so it's kept you going
and also kept you on track with what you needed to do

(20:48):
for follow up or
make sure that nothing else in the background
gets missed? Exactly
so even though if I've put something in there
I can then just update that as well
if it's not something fully finished
and I couldn't get a hold of them
you know, maybe I got stuck leaving them a voicemail
but I still wanna make sure I get them on the phone
the GPT will go 'cool,
you just wanna update that to say this?'

(21:10):
it will then tell me 'this is now your follow up'
and it will keep that on my list
even when I go to the next day
it keeps it there.
I need to keep the technicians you know,
a hold of something
and there's something that I need to tell them
or chat with them about, I put that onto that list
and it actually shows it to me in a totally separate
task spot so I can see my individual tasks

(21:31):
but also their tasks
and I can keep them accountable as well.
So, obviously out on the roofs all day and they're busy
so they're not able to sit and and plug anything in
I can do that for them
and keep them and myself accountable
and it's phenomenal. And it it has helped with sales
it's not even meant to it's there for my productivity
but it has helped me with sales

(21:51):
and it's helped me with keeping clients happy
whether we've won them over or not,
they're still important to the business
and we still wanna make sure that
we're upholding the same things
that we are holding to a new customer
so it's just allowed me to do
that and stay productive and not go
'Oh, I'm quickly gonna do this one quote' and then,

(22:12):
'Oh, wait - no now I need to go and do this'
and turn around and do that
I just log it all in there
I can time block myself
and that allows me to get those tasks done
one at a time but so much quicker
and so much more efficiently as well.
Amazing I love that
I really do - and could you share with us like if
if it's had that much of an impact

(22:32):
do you know how it's how it's impacted sales?
Like overall, I would probably say we are like
40% higher than where we were at a month ago
compared to what I've now done
for the start of this month
we are only a couple of K off
what we were sitting at for a solid month
and we're not even two weeks into this month.

(22:53):
So it's been amazing
Wow that's great
And I think as well like
being able to have that there to back me up
when we've gotten busier is phenomenal
cause even when we weren't as busy
but I still had that GPT in place
means I've got the good habits already sorted
so now that we're gaining that momentum

(23:14):
and we've got these you know
this influx of leads coming through
and our sales are now going through the roof
we're booking out we're at a three week lead time
we're at maybe just now at three weeks
within a week and a half difference, is just phenomenal
to see that growth and that change.
And we haven't even fully utilized
all the different GPT's we got from you

(23:35):
and the Bootcamp yet
let alone when we have that,
I can only imagine what new leaps and bounds
will get to. Oh my gosh
I am so excited and and you're saying
just so I'm I'm hearing it correctly
you're saying that it is
this
this productivity tool has helped you get that result
110% I can say without any doubt

(23:57):
just the productivity tool has gotten me to this point
let alone when we are fully using that marketing tools
which we are on the track to getting
you know, utilized and implemented in the business
like within the next month.
We're really just honing in on that right now and I can
only imagine what that's going to do
cause that's focusing on marketing

(24:19):
but if a productivity GPT
can make so much change and difference in a business
just from me as an employee side,
that can make that much difference for me,
I can only imagine what those deeper marketing
tools are gonna be able to do
for our overall business
and from you know
for the owner's point of view as well
how amazing that is going to be.

(24:40):
Even when we introduce new team members
them having their own productivity GPT
working how they want like
they'll be able to have just as much efficiency
as I will, and it's just going to be
be amazing like
I can't wait to see how we keep growing and how we go
I can't get over it 40% - that's amazing
and you know like
whether people are doing sales calls or follow up

(25:01):
or anything client facing, these tools -
I've always said that
having time and space to do the important things
is really important
and the way that you do that is to systemise
automate and have processes,
so you're absolute testament to what I believe about that
which is incredible.
So just this, your one favourite tool,
if somebody wasn't necessarily doing sales

(25:23):
what other benefits have you had?
Like you mentioned the communication piece
and nothing's missed you know
how does it make you feel in your role,
how else has it helped you?
I've definitely gained a lot more confidence
within my role because I
you know as the longer I'm here
the more roles I can take on in the business
there is a future role for me in this business

(25:44):
where it will go down a management line
I'm the only one in the office right now
but we can see that changing
within those next few months
as we grow
and being able to have that confidence within myself
to know that I can take on those larger roles
and I can also manage myself and my time effectively
is already phenomenal as it is

(26:04):
let alone when we move further on.
I used to get quite anxious
when we had a lot of calls coming through
and we had what I thought was a busy sales day
or you know
just a lot of clients calling in
for various different reasons,
that anxiety is all that gone now
like there is no anxiety of 'oh my gosh
I got a lot of calls coming through'. It's OK,
I'm gonna put it into the GPT

(26:25):
I'm just gonna answer these calls
and I know that I'm gonna have more time.
Then I used to I used to be stuck on
you know a
a notepad trying to put a little task list together
and it got convoluted
it got hard to tell, 'did I actually do that?
did I not, did I just forget to mark it off?'
And now all of that's in there
whether it is from a client facing side

(26:45):
or through to my other various tasks in the business
from other admin duties
to speaking with the technicians
following up on a client
where I need to follow up on the owner
it's allowing me to
keep that there
and not let anything fall through the cracks because
you know I don't want a client to be missed
they don't want to be missed
and as you know a business owner
the owner doesn't want it to be missed either.

(27:07):
So we want to make sure that absolutely
everything that we're doing
is allowing us to be efficient and timely,
but also we're doing it in a way that
we're actually calling them
and speaking to them when
we need to as well. I would say
my time for tasks has been cut down easily by 50%.
I'm now not taking so much time on

(27:29):
on one particular task
I'm able to also time block in different ways
that's allowed me to have so much more space
to take on more roles in the business
like marketing
I'm now taking on quite a large marketing role
in the business
and that may end up expanding as we move down
track into the you know
the rest of the year. So having just that one tool

(27:51):
allowing me to do that
from all aspects of what I'm doing
in my ever expanding role
is just amazing, honestly.
That's incredible
jeez, I mean
I I really do - I work with these tools all the time
and I've actually you know
designed these for people like yourselves on the regular,
but just to see the results coming back

(28:13):
I like I just love it.
And you've even got time for things like podcast
interviews! Yes
I would not have had time to be like, 'Cool
I'm gonna block an hour out and and and do this.'
There would have been no time
it would have been
'Good luck scheduling me in somewhere.'
Whereas now it's like
I actually have the time to do that
because I'm able to get through my tasks

(28:33):
quicker and more efficiently
but I'm not losing any quality of what I'm doing.
I'm not you know going backwards on anything.
In fact, we've had even more good reviews coming through
we've had people tell the technicians
they've come back going, 'Jess
like they were so happy with the way you communicated,
they wanna be booked in again in a year's time.'
And things like that
and we're getting even more of that

(28:54):
and you know
considering we're adapting new things to the business
you would expect there to be a drop or a potential
you know thing that you can lose, and we've lost nothing,
we've just gained things.
There has been no loss at all in anything we've done
and to keep that
that quality up and to hear that feedback from
you know, our customers,
that we're seeing each day, is just amazing.

(29:18):
It's super important too, I mean
from a business owner's perspective
the cost to acquire a new lead versus the cost for
you know, the customer lifetime value of repeat business
it's gold. So the fact that, it's
your communication has improved with the clients,
it improves your brand reputation
and all of the results snowball from there,
is brilliant.
And I'm also hearing that your communication

(29:40):
within the team is also really consistent
you're kind of driving things
like the puppeteer from the engine room.
But also Joel as the business owner,
you know feels comfortable
he's fully informed -
the communication's flowing really well.
Yeah, cause it does give me a summary at the end
of the day he can see everything that we're

(30:01):
like I've done within a day
he can keep an eye on that. It also keeps him
on track with
the types of tasks
that he may have forgotten to give himself
cause he's just so busy, he's out and about
and I'm the core of the business right now
everything comes back to me and comes from me,
so
it is so good for him not to feel that he needs to be
double handling things or checking over things.

(30:23):
It's, once you tell me
it's in the GPT and it's there until we get that done,
and it's just been great for him to see this
you know impact
even the past few days - he's been so
so happy seeing how our sales have just skyrocketed
and how amazing we're doing and
to know that all of that background work is working.

(30:43):
And for us, we want that repeat business,
everyone wants the repeat business,
and you've got to obviously start somewhere
and whether that's from the marketing or word of mouth
getting that lead in
but being able to keep them,
that's the important part.
So you can get a lead to come in
but to keep them and to grab them from the get go,
the fact that we're able to do that so much better now,

(31:04):
that's what's amazing. Yeah
I mean it sounds like almost incredible
what one productivity tool could have this much impact
but I've
I've seen it in action and I know what the tool does
and I've heard you say a few things on the day to day
that have been impacted
which I just love. I'm just curious if, for example,
you had the amount of leads inquiring right now

(31:25):
that you have, like just in the past couple of weeks,
let's say, they came in for a different reason
but you hadn't implemented AI -
what would you have done - what would have happened?
What would the conversation be?
Yes, so I definitely
would almost be rushing them off the phone
to be honest, because there would be such an influx
that I wouldn't be able to

(31:46):
to handle all the incoming.
Not only that they wouldn't be able to have
you know their quotes or
questions answered, day-of,
they would be waiting up to, potentially,
48 hours for me to be able to get back to them,
even if it was just for what now is a simple quote.
We would have lost half those leads without even trying

(32:06):
because either I couldn't answer the phone,
or I wasn't able to give them what they were asking
or needing on the spot.
There's sometimes we do get inquiries where I can't help them,
but I can help them now -
wher as I can refer them to others
I can give them information
and not feel like I have to get them off the phone,
so I've got to get to the next task
and then the next task.

(32:28):
I'm not rushing myself and I can feel very
confident in getting to my tasks in a timely manner
without feeling the need to make the client feel like
'Oh, she doesn't want me on the phone,
she's like, you know
she's too busy for me' sort of thing.
I'm now never too busy to be able to
to speak to a client and to keep that lead

(32:49):
and to turn them into a repeat customer
and that's just been amazing.
Because I can guarantee
if I didn't have the GPT's in place
and having the week we've had
the sales would be nowhere near what they are
and I would have lost those leads
the majority of them would not be now
potential repeat business.

(33:10):
Hmmm, lost customers and stressed Jess...
Yes and it means I don't stress
they don't stress, we're all happy.
That's great, I love it!
OK, let's talk about marketing because we did
as you mentioned, we built a suite of marketing tools
right from the strategy to crafting campaigns,
to the implementation of the individual post

(33:31):
so we went right from big picture
to the granular of how to deliver those things,
and again I could see the light bulbs
going off for both you and Joel during the boot camp.
So I wanted to talk a little bit about that
strategic partner in your marketing suite
and how this is gonna help you now

(33:53):
covered before we even talk about
systemizing and implementing an AI system
and that's developing your brand voice
and understanding your ideal audience,
but also going deeper into identifying
ideal client avatars.
Now we also did an additional piece of coaching
after the boot camp
where we went a lot deeper into this

(34:14):
because you guys have a
already been aware that you're working with
but we really wanted to make sure that we're gonna
tidy up and tune up the marketing
so instead of
sort of broadcasting to the general audience
we're really making sure that our content is

(34:35):
speaking to one individual of each of those avatars.
Can you share with me,
cause we haven't really talked about it much since
what's happened since then,
what what have you done to update?
And the other piece that we talked about is
that I gave you a tool for competitor analysis
which gave you not just what, but you know
their opportunities their strengths

(34:56):
the competitor's maturity profile in, you know
their social media and in the marketplace
if you're done with that piece
what's gonna happen next?
So, we went back over our avatars
after we did them in the boot camp and we did
with yourself, where we really went over that again

(35:17):
to make sure that we were fully understanding
what we were needing to get out of those avatars.
So I've actually personally gone back through after
after that and I've put more depth into those avatars.
So we obviously have our three main ones
and we really went into to as

(35:41):
it's more for people 60+ within that age range
it's people that are retired
but they have money to spend
they're not able to get up on the roof
they don't have someone nearby that
you know can help them do these things
and what kind of locations we wanted them in
and where we were wanting to target so I

(36:03):
GPT that we had for the avatars
I made it redo it. I said
let's go back through this again, let's do this
step by step and give me more depth.
Give me more than what we've got there
and we've got a more detailed version of those avatars
so when we
wanting those you know
60+ that retired probably

(36:31):
it's going to have all of that marketing content
for them and they're gonna look at it and go
'oh, that's for me.'
and I wanna you know, I wanna
deeper part of our competitor analysis
so we originally when we did it for the boot camp

(36:54):
we didn't really know who our
so Joel has now gone through
he's found competitors that
you know he's given me like at least ten
but each right
and he's found them and he's gone
I want this to be deep, you know
I wanna know everything about them

(37:14):
and I've then thrown that in there
and I've given it all the names of the businesses
here's my competitors
give me individual for all of them
all of that deep knowledge and that deep research.
It took 40 minutes to about an hour
and it's spat me out the largest thing I've ever seen
but it's given me all of that. And what I can then do

(37:40):
obviously it is still AI
it can get things wrong you know
it's the same with human error
it's the same thing. So I'm
I'm now in the process of going back through to fact
check and then I'll be
putting that into the back end of the GPT
of our competitor analysis
the one you gave us, so when I do a competitor analysis

(38:02):
things that were in there
what it gave me before and it's gonna give me back out,
what they're still doing good
what we can still improve on
and what their weaknesses are
so we can use that to our advantage
when we're doing our marketing

(38:23):
comparing ourselves each time
to make sure that we stay on top
because that is subject to change at any point in time.
Someone may be doing really well now
but in three months time that could completely change
and we're always making sure
else so
that's what we're currently going through
the process of. That's great
and with the competitor analysis, it's

(38:50):
your positioning in the marketplace,
being aware of other people's positioning
and their maturity of
take a leaf from, but also the gaps
where you have opportunities to stand alone
So quite often when you're doing a competitor analysis

(39:12):
like if it's not in your industry
for example let's say you're a a coach of businesses
but you do a particular niche,
like you mainly focus on
your background is in trades and construction,
and that's your niche,
somebody comes to you for business coaching
and you have a competitor over here
that does something else, you can be

(39:33):
so the competitor analysis also
gives the opportunity to see where there's synergies
for these people yes
so you can also
add value to each other's business and promote
as well as know exactly where you stand in the market
compared to what's currently out there.
yes love that
You mentioned reporting -
and so this same tool that
that we built out is gonna give you the opportunity to

(39:56):
set a 90 day goal for your
organic social media marketing every 90 days
but then it also gives you ways to check what's been
so
and I know that we're really doing this research piece
first before we're gonna set it up,
but I look forward to seeing
I know
Joel is really focused on marketing and messaging

(40:17):
and he does great with ads
and you guys have engaged marketing agencies before
but it sounds like it's something that,
because we set up these tools,
you're having the confidence to
dive in and really understand it yourself now,
Yeah, so
you know going back to having the competitors
we're also wanting
to find colleagues as well
which is what Joel's termed it

(40:37):
he's like we wanna find colleagues
people that you know
we can refer to each other
which we already have some
but to have more will be amazing.
At the moment
we're gonna be doing our own
organic marketing it's going to be in house
it's going to be me
and you know having that there will be amazing
so we will be
having quarterly meetings
where we can see what worked last time,
what didn't and what's potentially changed,

(40:59):
where our competitors are at
what gaps we're now, you know
leaders in, and what we're able to do.
I think at some point you know
we may fully move marketing back in house completely
because having you know
that 90 day plan is going to
be amazing. We've got the content planner there as well
to show us what content we would do during those 90
days and it allows us to have that all planned out

(41:21):
ready to go, we can see how did that work
how did that not work
and put a new strategy together if,
based on those previous 90 days
and what we're looking at doing for the next 90 days,
so it's going to be really amazing to see
just from an organic posting side of things
how that's going to help improve
what we're currently doing and then

(41:45):
do our scheduled and our ads and things from in house
we're currently kind of testing that in the back end
to see
if we can put that in house
it means you know
less money
the business has to spend on other expenditures
that could be used back in house
and to help further the business grow.
So we're really keen to see how that
started from you know

(42:07):
next month to start of the second half of the year, so
where it goes yeah
That's exciting and the other thing about
we talk about pre and post boot camp tools
you can get social media campaigns
you know
you could just jump on Chat GPT in the chat and say
here's here's my audience, here
here are my URLs

(42:28):
help me create a marketing content the next four weeks, but
the tool that we've designed is a little bit different.
Do you want to explain a little bit more about that
the content planner? yes
So, I actually in a previous role did just use Chat GPT
and I literally said that I said hey
give me a marketing plan for this
and it was very basic it was simple
it didn't give me really any depth whereas

(42:50):
the one that you've created
and we are now utilizing is in so much depth
it's phenomenal - so we tell it
you know every three days we want to say
post something organic
and it will break it down into what type of post
where we're posting it different
like what the main theme of that particular post is
it then gives us the 3 months worth

(43:14):
1 month worth whatever we want for that
and it breaks it all down for us
because we have the two different businesses
it means that I can streamline them into one planner
without having to separate it and try and work out
oh my gosh have I posted this one on the right day?
it just streamlines it into one
and it also is keeping
an eye on what we have said previously

(43:34):
but we can make it about our business as well
obviously using normal GPT and not you
I mean just like the free version,
for example
it gives me new ones for 3 whole months worth
and it will then save that and remember, hey
we did that only a month ago so we shouldn't use that
and let's think of something different and fun to use.
And from that content

(43:59):
but 'hey, this is the individual post I wanna do
let's expand on that,
give me the depth from that one post..'
And it means that I'm not having too much information
in one area
I've got exactly what I need from the planner
and then I can take that deeper information
and get Marketing Bestie to give it to me that way,
so it's really great to have.

(44:19):
And it tells me how
how would you like to see the information
do you want it in something you can extract out of
Chat GPT and you know
put into a table format do you want it in a word format
how would you like that information received?
And then I can tell it hey
I want it like this and it will go, 'cool
I can do that for you each time now.'
So it allows me to see the information as

(44:41):
I'm gonna understand it best and I think
version it will kind of do that
but it won't save that
maybe it will revert back and lose the memory of it
if you haven't used it in the three months
and I don't want that I wanna be able to go cool
it's gonna pick up exactly where I left off.
Sometimes it might need a little tweak here and there

(45:03):
but it will overall remember what I've asked it to do
and that's what's gonna be that big game changer
to be fair. Hmm amazing
I will watch that piece with interest
I really wanna see what happens
with everything, but with your marketing tools
and you mentioned privacy
how important is that? I mean
I always say that you know

(45:23):
free Chat GPT
you are the product
because what information you're feeding
is feeding the models
whereas the way that we've worked together
make sure that any knowledge base
any information you feed
it is private to you within your account
so that's a really foundational,
so that's a really important point.
Yeah, obviously

(45:44):
when we built those GPT's with you in the Boot camp
it was really good to see,
and you also explained to us why
information back and we're keeping the privacy
those are things that they may not have ever used Chat GPT before
and it's allowing us to keep that privacy there
but we can put our

(46:04):
details of the business in there
and it not be fed out to the broader market
and it allows us to keep it in house
which is very important for us.
So if someone had told you like, six weeks ago,
that you would be using AI to help you work -
it's gonna help you increase sales by 40%,
it's gonna help you take on marketing in house,

(46:25):
and give you deeper insights
and better performance than you could have imagined,
and increase your team communication...
all these amazing things six weeks ago,
if somebody had told you that, what would you have said?
I would have probably laughed at them to be honest
I would have been like
surely not that much? I mean I'm a younger person
I'm very much aware of technology and AI

(46:46):
and I've worked with it before
but to have such an increase
and such a change in such a small amount of time
even I would have gone, 'I don't really believe you
I think you're just pulling my leg!'
But to really have these results
and to be able to share that
and honestly
I'm still in disbelief and how amazing it is,

(47:07):
is just something I say like,
Don't say no to it, do it.
And if you can implement that in your business
before you need to implement it in your business,
you're already gonna be able to take on more work.
And I can have those results as the employee
I can have those results,
I can only imagine what business owners
are gonna be able to see

(47:28):
on the larger scale that it can grow to.
Amazing, amazing.
And if so if someone is doing the
the chat in Chat GPT and they're using the prompts
and they're doing everything like, efficiently,
just the way that you were previously, um
what would you say? You can do it better.
Don't just let the

(47:50):
the current prompts and what's there...
you know,
I thought I had a good knowledge on what Chat GPT
Chat GPT was like and I
I really didn't.
And just the
knowledge that we got from the boot camp was already
you know, as you mentioned
the gears were turning in my head -
I was like,
the amount of things we can now do with that
and what we can utilize for it is just going to like,

(48:11):
it just took it to the next level,
It was seeing the 'run' aspect and it's like honestly,
we were just in 'crawl' - we were we were barely crawling
we were maybe army crawling
it was so slow...
we had no idea just how much more we could have
you know gotten out of this
and to just be barely tapping into the surface
and to have such amazing results -

(48:32):
I would say to literally anybody out there,
if you're already using the GPT's,
and you're not using it to the level that I'm using,
you're not gonna be able to
to get anywhere more -
like you need to see that difference.
Like, if my efficiency can go up
anyone's can, even if it is for a different business.
I can see any administrative

(48:54):
tasks going so much smoother and so much better,
let alone if you're putting in sales aspect into it.
Just the difference is is too good to be true, honestly.
It is, so I would say, just do it.
