hey everyone so let's dive in
I wanted to paint kind of a little picture of this
I was sitting in my office yesterday
and I was watching one of my clients
literally try to record a real
while simultaneously
writing captions for tomorrow's posts
and designing graphics for the next week
she's got 17 tabs open three different apps running

(00:47):
and she looks like she's about to throw her phone
out the window and I get it
I really do because I used to be me too
trying to do all things all at once
thinking that's what being productive looks like
but here's the thing it's not productive
it's chaos and it's exactly why
so many businesses are burning out on social media

as one of the reasons why
I dubbed 2025
as the year of being intentional
with everything that we do
so what if you could actually create better content
get better results
and actually enjoy the process all while doing less
today I'm breaking down
the exact system we use with our clients

the same system that helped one of
our clients go from
spending 20 hours a week on social media
down to just five
while actually increasing their engagement by 147%
I'm just over and I mean over
watching everyone trying to do everything at once

it's like trying to cook dinner while doing laundry
while on a zoom call sure you can do it
but nothing's going to turn out great
at least my dinner won't
but here's what I see happening with most businesses
Monday morning rolls around and it's all
I should post something and panic
create random post Tuesdays more

but oh wait I forgot to plan content
then they stress record 3 reels Wednesday
oh no these reels need editing
while trying to write the captions Thursday
oh crap I should have posted yesterday
and then they rush to post anything
and then Fridays usually more of a
I'll do better next week and then they repeat the cycle
sound familiar

(02:32):
so let me share how we completely transform this
for our clients we call it the Content Power Week
it's more advanced than the Content Power Hour
we start our clients on
but it's still ridiculously simple
and it follows the same concept
Mondays are our research and ideation days
and I mean only research and ideation

(02:54):
here's what this actually looks like
I grab my coffee because you know
obviously open a blank document
look at what performed well last week
and the week before sometimes
check what's happening in our industry
or our clients industry and then
bring down every content idea that comes to mind
no recording no designing

no captions just pure ideation and you know what
the ideas flow so much better when you're not thinking
oh crap I need to post this in an hour so then Tuesdays
that's the recording day baby
and
let me tell you a quick story about why this matters
we had a client who used to record one video edit
post it then record another

(03:36):
it was taking her five hours to create
three pieces of content
now she records everything at once
outfits ready lighting set
she's in the zone and she's done in under 90 minutes
here's the recording day checklist I swear by
so you wanna set up your space
and then batch record all your talking head content
you know switching in the outfits you need
and then grab any other B roll that you need

and then save everything in organized folders
systems vary
it just depends on what works best for you
but you wanna save it where
you're ultimately gonna be able to find it
whether that's in the photos app
on your phone or on your computer
I don't care as long as it works for you now
Wednesday is for graphics and editing
and this is where the magic happens

you've got all your raw footage from Tuesday
you know what you're creating from Monday
and you can just put on your editing hat
and go to town so quick tip about editing though
you know
those super fancy transitions everyone's been doing
yeah our highest performing reels
don't use any of that clean cuts
good pacing clear message
that's it Thursday is copy and messaging Day

and we could talk about why this needs its own day
because writing captions while trying to edit videos
is like trying to do your taxes while riding a bike
you're gonna crash
and the taxes are gonna be great either
so this is how we structure our copy day morning
write all the main captions
afternoon craft your called actions and your hooks

and then the end of the day is just a final review
to make sure everything aligns with your business goals
Friday that is our setup for Success Day
everything gets scheduled
but here's the trick
we don't just schedule and peace out
we use this time to review everything one last time
set up our engagement windows
plan our response strategy

and get ahead for the next week
now let's talk tools
because I know everyone's always asking about these
here's a reality check first
you don't need 15 different apps to make this work
and I promise this isn't gonna be one
of those you need to buy everything conversations
you literally just need
like four tools to make this whole system work

(05:44):
for me let me start with click up
because this app changed everything for us
I used to be the person with sticky notes everywhere
random ideas in my phone notes
it was a mess
click up is where we build our contact calendar now
and here's what's crazy
just having everything in one place
cut our planning time in half

on quick tip about click up
don't overcomplicate it
we have one board with our content calendar
we use their task templates so we never forget a step
huge game changer I can't say enough
how click up has transformed my business
and some of our clients have even switched to it to run
their business as well so for designs

(06:26):
I'm still riding the camper train
and I'm not ashamed to say it
here's why
they keep adding features that just make sense
and let's be honest
we don't all need to be graphic designers
to create content that converts
my favorite Canva hack is to have your own templates
with your brand colors and fonts
then just duplicate and edit as needed
it takes 5 minutes to create a carousel

okay and then CapCut Desktop Pro
because this is the real MVP for video editing
I know everyone's editing on their phones
but listen trying to edit
a week's worth of content on your phone is like
trying to cook a 5 course meal in an Easy Bake Oven
do it but why would you
now here's what's great about CapCut Desktop Pro
the shortcuts make editing so much faster

you can see everything on a bigger screen
auto caption feature actually works
and you can batch edit multiple videos all at once
it's just so much quicker
so much easier I love editing on my desktop
I can't go back to doing it on my phone
and then last but not least
I absolutely love Vista Social
okay can we talk about how scheduling tools

(07:30):
used to be either super expensive or super unreliable
Vista Social is neither
we use it for all of our clients
because the Instagram integration actually works
you can schedule reels with audio
and they actually have a cool feature
where you can just download the audio through there
super easy the analytics are actually helpful
and the price won't make you cry

(07:50):
now I know what you're thinking Danielle
the sounds great but how do I actually start
let me break it down into baby steps
the first week
just start with organizing your content and click up
that's it don't try to implement anything all at once
week 2 start batching your content creation
pick two days one for creating
one for scheduling build it from there

by week 3
you should have a good feel for how this flow works
and here's where it gets fun
this is where in
you can start playing with the schedule
to make it work for your business
like one of my client
she's a mom of three and running her business
guess what
she does all of her recording on Sunday nights
when the kids are in bed
then she spreads everything else throughout the week

during school hours
your schedule doesn't have to look exactly like mine
it just needs to work for you
what it really comes down to
is the fact that
you don't need to post every day to see results
what you do need is a sustainable system
that lets you show up consistently
without burning out
I actually had a client message me last week saying

oh my god I finally
had a weekend where I didn't think about social media
once and that's what the system does for you
it gives you your life back
while still growing your business
so here's what I want you to do
open your calendar block out next week
following the structure
and I'll put it in the show notes
and then start with just two dedicated days
and it doesn't have to be a full 8 hours

and then you're gonna build from there
remember this isn't about being perfect okay
it's about being consistent and sustainable
this isn't just about managing social media better
it's about running your business better
because when you're not
constantly scrambling to create content
you can actually focus on what matters
