you can keep it safe andaccessible, because I know that
that is a concern, especially inthis digital age.
(01:30):
And then also how you canactually use it without it
turning into a digital clutterzone.
So whether you're super techieor you prefer to keep things
simple.
Bowl I am gonna help you walkaway with a game plan that is
easy and customized just for youand your family.
So get ready to save yourselfsome time and some brain space,
(01:50):
and about 47 panic searches thisweek.
So grab your coffee, fold yourlaundry, and let's get to it.
So let's start from the top.
What is a digital home binder?
This is exactly what it soundslike.
It, it is just a central space, whether it be online or in the
cloud where you store all ofyour family's essential
(02:13):
information.
Think of it like your virtualfiling cabinet.
This is going to help you findwhatever you need.
Fast without digging throughpiles of paper or mentally
scanning 10 different apps.
And this is not just fordocuments, it's not for just
scanning insurance cards ormedical forms, even though that
is really important and a bigpart of it.
(02:35):
But it can also include routinesand schedules as well as
contacts, family info, homemaintenance records, meal plans,
logins, and so much more.
It's basically, if you've had tosearch for something more than
once, you probably need to keepit stored here.
So why should you even considerhaving it digital?
(02:56):
Well, number one, it makes itsuper accessible, so you're able
to view information from yourphone, tablet, or computer
anytime, anywhere without havingto go to a physical binder or
file to get all of theinformation.
Two, it makes it super shareableso it's easy to give your
(03:16):
partner or your spouse access toit, so you're not the only one
who knows where everything is.
And number three, it's wayeasier than reprinting pages or
rewriting notes every timesomething changes.
So it's easy to keep thingsupdated all in one place.
And then lastly is spacesavings.
So no bulky binders or loosepapers floating around on the
(03:39):
kitchen counter.
You can have everything storedin the cloud, so it's not taking
up any physical space, Plushaving a digital home binder is
customizable for your life.
Whether you're a Trello loverlike me, or maybe you love
Google Drive, or someone whowants a fill in PDF or a Canva
(04:02):
doc, you can build your binderyour way.
It can be something basic orsuper detailed.
It's just what you want and whatfits your life.
I would definitely say startingsmall and adding on as you go
and having this digital homebinder is super important for
us.
Busy bums because we're nolonger wasted.
(04:23):
In time searching, guessing, ordigging around for important
information.
This digital home binder reducesthe mental clutter and the
decision fatigue because we canfind things, everything in one
place, and it gives you peace ofmind knowing that you can
quickly access what you needwhenever life throws a curve
ball at you.
(04:43):
So let's go through what toinclude in a digital home
binder, so you are notfrantically searching for things
when life gets a little crazy.
So one thing to consider in yourdigital home binder is some
family information.
This can include birth dates, contact information for each
family member, allergies, medication, any key medical
(05:06):
notes, emergency contacts,babysitter info.
Think of things like that.
This is information that goesinto a form like only a hundred
times, but sometimes it's hardto remember these things.
So having a place for all of thefamily information is really,
really helpful.
Number two is medicalinformation.
(05:27):
This includes insurance cardsfront and back.
You wanna scan both of them ortake a picture of it.
Primary insurance providers likepediatricians, specialists, or
even the contact information, for these, providers, as well as
any upcoming appointments, pastvisits, summaries.
This is super helpful, especially if you are seeing
(05:50):
multiple, doctors, any vaccinerecords, prescription lists.
This is really helpful, especially when you're going to
the doctor and they're askingfor what prescriptions you or
your child is taking.
It's easy to keep these handy, especially during back to school
season or for last minute sportsforms.
Next is home and utilities.
(06:10):
So you wanna think about accountinformations for electric water,
gas, internet, trash, HOA,whatever, is, applicable to you.
Include contact information forservice providers.
Like plumbers, electrician, thehandyman.
And for me it would be the guythat fixes the garage doors.
Also including any appliancewarranties, instruction manuals,
(06:33):
because it was a period of timewhere we had a bunch of
instruction manuals that weweren't even using, but it was
really helpful to have them.
But if you can have a digitalcopy of them inside of your
digital home binder, this likesaves so much space in.
Clutter.
And then lastly, a homemaintenance checklist or log,
like changing out filters.
(06:53):
scheduling, pest control, orother seasonal tasks.
I know for me, I always forgetthe air filter in the air
conditioning unit.
So if you can have a checklistthat you can, go through and
check off, that is super helpfulto have inside of your digital
home binder.
Up next is having a financialand insurance overview.
(07:16):
I would definitely say do notinclude any sensitive data,
because this information may notbe protected.
So please, please, please justbe careful with all of this,
well, everything that I'mmentioning here, but in
particular this, financial andinsurance information, be very
careful with.
Everything that you're included, but just a snapshot of your
(07:37):
budget will be super helpful inthis section, including a
monthly bill tracker, any duedates for any reoccurring
expenses like your mortgage, your rent, car payments, et
cetera, that can be entered inhere.
Policy numbers and coveragesummaries for your home life and
auto insurance.
And then any digital receiptsfor big purchases or claims like
(08:01):
your refrigerator, your washingmachine.
definitely helpful to keep acopy of the receipt just in case
those things go bad and you needto, take them up on the warranty
or send in a claim.
Next is schedules and routines.
These include daily and weeklyfamily routines, like after
(08:21):
school and cleaning routines, aswell as chore charts.
It's great to have, sharedboards with kids here.
School schedules, sportspractices, extracurriculars.
All of this stuff will be greatto include in this section and
sync this with your weekly resetthat we talked about in episode
252.
Next up is any importantdocuments.
(08:43):
This can be scanned orphotographed.
This includes birthcertificates, social security
cards, passwords, marriagelicense, custody agreements,
legal documents, schooltranscripts.
You want to store, these thingsin a secure and backed up cloud
storage, that has limitedaccess.
Just because this is verysensitive information.
(09:05):
I'd be very, very careful withthis one, not to just like throw
this one into your Google Drive, but putting this in a secured
spot.
And then lastly, some, importantemergency information and plans
like emergency contacts, whetherthey're local or outta state.
Evacuation plans or familymeeting spots, pet information
including vet contacts andspecial, needs care.
(09:28):
All of this information would behelpful so that you can quickly
access it.
So remember you can build thesethings section by section.
Don't stress about having to dothings all at once.
Just think about the things.
If I need this in a hurry, wouldI know where to find it?
That's what you wanna thinkabout.
So let's go through some toolsto help you create and organize
(09:50):
your digital binder.
I'm only gonna mention my toptwo here, but know that you can
use all sorts of different typesof apps like Notion, Evernote,
PD, F templates, and so muchmore.
So.
I'm gonna share with you my toptwo, which are Trello and Google
Drive.
So first with Trello, you know Ilove me some Trello.
(10:10):
But this is for the visualpeople who love the drag and
drop.
So you can set things up foreach category, like family info,
medical finance, et cetera, andthen have cards to hold the
different details, checklists,or even.
Upload attachments, like PDFs orimages into each one of the
cards, and then know that youcan move things around easily
(10:32):
and update and customize thingswith labels, colors, and emojis.
And then my favorite part issharing with your partner or
spouse.
So you're not the only one withall of the information.
So Trello is the best option formoms who like visible structure
and flexible boards, and alsoneed a mobile friendly option.
(10:54):
So consider having a Trelloplanner if you identify as a mom
who likes something visual aswell as flexible.
And the next one is having aGoogle Drive folder that's
simple and searchable forstorage.
I really like having folders foreach category and scanning
(11:14):
documents, or having a GoogleDoc or Google sheet that has all
of the information.
You can add table of contents toa doc that links to each section
that I mentioned before, or youcan have a Google sheet for
tracking different things as faras like bills, medical
appointments, and routines, andknow that you can access things
(11:35):
anywhere or share with familymembers or caregivers as needed.
This is best for moms who loveclean folder systems and need
document storage for a quicksearch.
And I'll be honest with you, there is a presentation in the
Let's Get More Time recordingscalled Organize Your Life with
Google Sheets second brain.
(11:56):
This is super, super helpful.
If you are looking to have aGoogle sheet that acts like your
digital home binder, so ifyou're interested in that,
there'll be a link to therecording that you can purchase
from the Let's Get More TimeVirtual Summit.
That includes the Organize YourLife with Google Sheets.
(12:18):
So, like I said before, youwanna make sure that you're
keeping things safe as well aseasy to access.
You want to have some passwordprotection and cloud storage.
But you wanna make sure you dothis wisely.
So keeping your digital homebinder stored in a secure cloud
like Google Drive, Dropbox, oreven OneDrive with password
protection is really gonna helpwith making sure that, people
(12:42):
who don't need to access yourinformation will not be able to,
access it.
I would definitely say avoidstoring sensitive personal
information that, is directlyaccessible on your phone or in
unsecured folders.
It's highly, highly encouragedto use encryption for highly
sensitive documents like socialsecurity numbers, and social
(13:04):
security cards, identificationsand insurance policies.
This makes it so that it's noteasy for, those who are trying
to hack or get your personalinformation, to see these
things, directly on your phoneif they get access to it.
So there's tools like LastPass,Bitwarden and 1Password that are
designed for storing passwordssecurely.
(13:26):
So definitely look into those ifyou're looking for something
that is gonna help.
Protect your passwords.
So instead of writing down logindetails and storing them in your
notes, you wanna keep them safeas well as easily accessible.
And you can use one of the toolsthat I mentioned before to help
with that.
You can even include notes orbackup codes for two factor
(13:48):
authentication if you need to.
So I love, love, love makingthings mobile friendly.
So you want to make sure thatyou install Trello or Google
Drive or Notion, whatever you'reusing as your tool of choice
onto your phone or tablet.
And then bookmark your binder toyour browser or pin it to your
app on your home screen to makeit easily, tap and go.
(14:09):
Next, you wanna make sure thatyou keep a printable emergency
binder backup just in case.
I have a emergency info sheetwith just key information, like
phone numbers, insurancedetails, bring the allergies,
medications, emergency point ofcontacts, this printable like.
Physical copy I think is reallyimportant to print store, and
(14:31):
put inside of a folder oremergency binder.
Or even having it taped insideof your kitchen cabinet.
I think it's really helpful tohave something like this, that
you can have to carry with youon the go or even just give you
peace of mind knowing that theinformation is there and easily
accessible to those in yourfamily.
And then lastly, you wanna makesure that you're backing things
(14:52):
up regularly and checkingthings.
So once a month or once aquarter, just do a quick review
to make sure, the information isstill accurate and up to date
you wanna backup up files ontoan external hard drive or
export.
A copy to a second cloud folder.
If you're using something likeTrello or Notion, you wanna
(15:13):
duplicate boards, or pages, as amonthly snapshot so that you are
keeping things updatedregularly.
So remember, your digital homebinder is your modern day
command center.
It holds everything from familyinformation routines, medical
records, and emergency plans.
And you can use tools likeTrello, Google Drive Notion, or
(15:36):
even a simple PDF, to make thissuper easy to start and
maintain.
And remember, it's all aboutbeing prepared, saving time, and
lowering the mental load.
So if you don't have things allset up.
Don't worry.
You don't have to do it all inone sitting.
Just start with one section andevery time you need a p piece of
(15:58):
information to ask yourself, could I drop this into my binder
right now?
That's how you build thingsnaturally without adding stress.
You're not just organizingpapers, you're creating peace of
mind, reducing the chaos andprotecting your family.
You are doing awesome, and Iknow things can feel messy, but
this is just one more tool thatis gonna make life easier for
(16:20):
you, not overwhelming.
So I challenge you to start yourbi binder this week if you don't
already have one.
And start with just one section, like the family information
section or just school stuff.
And use what you already have, whether it be a Google Drive or
Trello.
There's no need to overthinkthis or make it complicated.
To make it easier for you, Ihave a copy of a Trello template
(16:45):
that you can use to get startedfaster.
So just make sure you check outthe description and the show
notes for that.
So that is it for this episode.
I hope that you have found ithelpful and remember that this
binder isn't just about beingorganized, but it's gonna give
you the gift of less stress andmore peace that you absolutely
(17:05):
deserve.
So go out, get started with itand join me back next week for
another full episode.
Take care, and with lots oflove.
