Dawn Andrews (00:05):
Dawn. Welcome to
she's that founder the podcast
where we help femaleentrepreneurs reclaim their
time, grow their leadership andscale businesses that thrive
without burning out. I'm yourhost. Dawn Andrews, business
strategist and CEO offree range thinking, and we're
super casual today. If you'recatching me on video, I'm just
chilling in the office. Got thecrazy hairdo. We're just
relaxing because I want to helpyou find more time to relax, to
(00:27):
have some ease in running yourbusiness.
So in this episode, you'll discover how AI tools can
save you 60 hours a month ofyour time, both in leadership
and in actually getting thingsdone. We'll also talk about the
mindset shift female foundersneed to adopt AI with
(00:48):
confidence, and I've curated alist of 10 AI tools that can
immediately boost productivityand profits in your business.
Let's get started. I want totalk about the reality that most
of us don't want to admit, andit's about a gender gap. There's
a 16% gender gap in AI adoptionalready, even now, as early as
(01:11):
we are in this AI game amongwomen in the same roles as men,
men are adopting ai 16% fasterthan women. They're just going
for it. They're giving it a try.
And this is not a smalloversight, and even though it's
a small percentage, it's adouble digit percentage that we
need to be concerned about, because it's a systemic problem.
(01:33):
As female founders, we cannotafford to sit this one out. We
cannot.
But here's the goodnews, you don't have to be a
tech wizard to close this gap,you just need to write tools and
the guts to use them. I'm goingto get right to it and share the
10 tools that I use every daythat have transformed my
business. I picked up AI abouttwo and a half years ago. Even
before chat GPT launched, I wasusing a tool called Jarvis to
(01:55):
help with marketing copy. I wasawkward. I was scared. I didn't
know what I was doing. I wantedeverything to be perfect, but I
just went for it anyway. Andbecause of that, I've been at
the forefront of using AI toolsand learning new ones and
adopting them quickly andintegrating them into my
business with speed. And it hashelped us scale. It's helped me
(02:16):
save tons of time. It's helpedmy team work faster and more
efficiently, and it's helped usreally create some beautiful
things that have made adifference for the business, and
we've saved countless hoursdoing it. So without further
ado, let's talk about those 10AI tools that we're using, some
of them every day, multipletimes a day, that have
(02:38):
transformed our business andhelped us scale faster and save
countless hours. And here arethe categories of tools, their
content creation and copywritingtools, audio and video
production tools, design andbranding tools, research and
strategy tools, and then meetingand productivity tools.
Let'sstart with the content creation
(03:00):
and copywriting tools. You maybe working with an agency, maybe
you have a copywriter. I findthat using tools like clod and
chat GPT are like your 24/7 cofounders. I use both of these
tools to kick start strategiesand conversations. I have them
help me write complex emails. Ihave them help me refine content
(03:21):
to repurpose content. They helpme put together initial draft
proposals from conversationtranscripts. These content tools
cut my creation time by 60%which saves me about 15 hours a
week or more, and that means Ihave more time to service
clients, more time to sell toclients, and honestly, more time
(03:41):
to have fun creating that makesa big difference for me.
Sochat, GPT and Claude, first two
content creation tools, the nextone I use a lot is typeset.
There are other tools out therethat are similar to typeset,
like beautiful AI or gamma, pickyour poison. But I use typeset
because it will help me formatebooks, proposals, decks,
presentations really quickly.
(04:04):
Typeset, turns around roughdrafts and turns them into
polished reports in minutes bybringing in all of the content
as a document, and you edit thedocument, which edits the
slides. It works so fast. Youcan set up your own professional
templates, and it cuts about sixhours a week on document design,
and has helped me turn aroundproposals that look gorgeous
(04:27):
with the right content reallyquickly.
Now let's talk aboutthe next AI tools that make a
difference in our business, audio and video production
tools. There are three that weuse, one really heavily, and two
that I've been experimentingwith quite a bit. We're not in
full swing with the second two,but we'll talk about them. So
the first tool is descript, ordescript. I call it descript for
(04:47):
anyone who dreads video editing, descript is your video savior.
It edits media similar totypeset in a document form, for
instance. This podcast that I'mrecording right now, I'll bring
it into descript. See, I've evenchanged the way I pronounce it
just this time. So I will bringit into descript, and it will
give me the picture, and it willgive me the entire transcript as
(05:10):
if it's a Word doc. So I can cutand paste and move sections
around like I would in a Worddoc. And it also has some
fantastic additional features.
It has eye movement tracking. Sofor instance, I'm speaking to
the camera right now, but maybeI look down at the talking
points, and it will help my eyeline stay with the camera eye
(05:31):
line. It has overdub.
So if Ihave a flubbed word, or maybe
the mic doesn't quite pick upthe sound as clearly as I'd like
it to, I can overdub withouthaving to open and re record an
entire section, and it also hasstudio sound. So right now I'm
in my office, it's quiet.
Everything is sort of idealconditions for recording, but if
(05:52):
I need to, I can put on studiosound and be walking around with
my phone and recording, and itwill drop all the background
noise for me, using descript hascut production time by like 70%
it's a real deal savings. It canalso help us take clips out of
this video podcast and turn theminto reels or shorts or pull out
(06:13):
for a course. It's incrediblewhat it can do and worth every
penny.
So here are two otheraudio video production tools
that I think are worth yourattention and time. First is 11
labs. This is an audioproduction tool, and if you're
recording your own voice, or ifrecording feels like a chore, or
if you just have to do morevolume and you don't have the
time to sit in front of a mic,11 labs creates professional
(06:34):
audio from text, and it caneither mimic your voice. You can
record and create your own voiceprofile, or you can use one of
its already prepared voices. Soif there are instructional
videos that you're creating, you're doing trainings for your
team. 11 labs. Can be thenarrator. I use it for training
modules. I've started to use itfor Client Onboarding. I've
(06:56):
started to use it for manyversions of the podcast, even
starting to use a little bit forInstagram reels, for the
background voices or for thebackground narration. Just
having that saves 12 hours ofrecording time a month as well,
because my team can use my voiceprofile and take our approved
text and create the recording.
Pretty cool, right?
The lastaudio video production tool I
(07:19):
want to talk about is, hey Jen,if you don't feel like getting
camera ready, and who does, noproblem. HeyGen. You can create
the AI version of you and createpersonalized videos without even
hitting record. And to betransparent, I'm in the early
stages of using HeyGen, it's abit of an adjustment sometimes
to see the AI version of youdelivering a message and to just
(07:42):
pull over to the side for asecond and talk AI ethics. You
need to decide for yourself, foryour company, for your team,
what your AI use policy is andwhere you align with AI in terms
of ethics. This is just asidebar, but if you want to talk
about that, or if you want anexample of an AI use policy.
Check the show notes for a linkto grab that so with HeyGen, I
(08:05):
don't always want to be all puttogether, and so I'm testing it
out. We'll see how it goes, andI'll let you know in a future
episode. Okay, there are threeremaining tool areas that I'm
going to share with you.
Let'stalk design and branding tools.
The old school stall. Word thatI'm sure most of you are already
using is Canva. Some peoplereally like Adobe Express. I
(08:26):
never quite got on that train, but I also know that it's a
fantastic tool, because one ofmy business besties is always
ringing the bell about it. So ifthat's something you want to
check out, good for you. I justwant to tell you about the stuff
that I'm using, so that you knowthat somebody's actually using
it and it's making a differencefor them. Canva, you already
know it. They just did a hugerelaunch in March of this year,
(08:48):
I think March or April, and ithas new features with magic,
resize magic, right? There arenow Canva apps. It's our
favorite, go to tool for brandmaterials, and saves probably
eight hours a week in taking aninitial image and resizing it to
fit all the different socialplatforms. We use it to create
(09:11):
affiliate assets and podcastguest assets and to resize those
quickly. It now has thatcopywriting, the magic right
feature where you can put textin, and it will help you improve
it.
And it has an image creationfeature now where you can type
in an image prompt, and it willcreate original images for you,
if you're creating decks or anyother visual material. It's nice
(09:34):
to have your particular versionof something right, like your
version of the woman sitting atthe desk, your version of the
coffee cup. You know, one of mycreative images that I used was
a purple and white striped zebraand roller skates to illustrate
a point. If you can imagine animage you want to create and
include it in your presentationsand in your visual work, Canva
has the capability to get therewith you. So grab it if you
(09:57):
don't already have it. The otherdesign and branding tool. Tool
that I really am enjoying isMagi.
If you use stock photos alot, for instance, if you're in
fashion or retail and have tohave multiple product images
from different angles, differentsizes, different uses, Magi is
your friend. It creates brandedvisuals in seconds that can save
you 10 hours a week and give youa consistent visual identity.
(10:24):
I've been using magi toduplicate myself instead of
spending a bunch of time doing afull marketing photo shoot,
which I will still do, by theway, like I just want to make
sure that everybody's clear thatthese are not replacing core
expenditures that I'd be makingin my business foundational
expenditures with othercreatives still doing that and
the world requires a lot morethan my budget for my business
(10:47):
provides. I can't do a marketingphoto shoot each week or even
each month. So when it comes tocreating those in between
assets, I'm using magi toduplicate myself, myself in a
plane, seat, myself in anotherlocation, walking on the beach.
(11:07):
If I can't get to the beach anddon't have a selfie to do it, I
can use magi to help create thatdesign and branding tools, Magi
and Canva.
Now let's talkresearch and strategy tools. The
research tool that I use, two ofthem actually perplexity,
instead of digging through 20tabs on Google for research, I
can get reliable cited insightsinstantly using perplexity. It's
(11:32):
like Google on steroids, andthat saves me 10 to 12 hours a
week just on research, if I'mpreparing a podcast, if I'm
looking into doing my homeworkon a client before we start
working with them, or afterwe've started working with them.
Perplexity is a godsend.
Alternately, chatgpt also has adeep research function. If you
have the $20 Pro Plan, which Ihighly recommend you pay for,
(11:54):
you can use the deep researchfunction and do a deep dive on a
business or a topic that'smeaningful to you for research,
perplexity, and thenoccasionally deep research on
chat, GPT. And then the strategytool that makes a difference for
us is mind pal. It is likehaving a whole team in your
pocket. You can use it to runmarket research workflows. We
(12:15):
use it to repurpose content. Wecan put in one podcast link or
YouTube link and pull outmultiple pieces of content from
it, you can save hours perproject, and it enables us to
take on more clients becausewe're using it for instance.
Weuse mindpal right now to search
for potential collaborators andpartners for us. We use it to
help us generate testimonialsand do outreach. We use it for
(12:40):
repurposing podcast content. Andyou can customize and build a
workflow, a multi agent AIworkflow for your needs, for
your team. It's incrediblestuff, and it's sort of next
level AI, just to be clear. Soif you're just starting to
dabble in where AI can intersectand make a difference in your
(13:02):
business. Start with those firsttools. I mentioned chat, GPT and
Claude, just to get warmed up.
Okay?
And then the last tool, ameeting and productivity tool,
Otter, if you are tired oftaking notes on calls in real
life, Otter captures,transcribes and summarizes
meetings and action items, andthat has freed up hours and
(13:24):
hours and hours each week andboosts our meeting productivity.
People can replay back certainsections. They can jump in the
transcript to see and reviewparticular parts of the meeting,
and you can export thetranscripts to use in other AI
tools. So for instance, I'llmeet with a potential client,
recorded on otter, take thatrecording and immediately turn
(13:45):
it into a draft of a proposalthat would have taken easily
four hours in the past to reviewall of my notes, synthesize them
and get them into a usable draftof a proposal. It's a huge time
savings, and it's an accuratetime savings.
It's taking thewords straight out of the
conversation and getting theminto a usable format, super
helpful, right? 10 tools, 10tools we're using for real, for
(14:09):
real in our business that aremaking a huge difference for us,
and there are a few more, butthose are the top tools that
give us the biggest time savingswith the least amount of
distraction. And if you're nottrying them or checking them out
or having your team try them orcheck them out, I strongly
recommend that you do here's thereal kicker with all of this,
this isn't just about the tools,it's about your mindset. Studies
(14:37):
show that women spend 25% moretime on admin than men, and
that's hours that we could bespending as leaders of our
companies on vision, strategyand scaling, perfectionism and
hesitation are the realbottlenecks here.
So startmessy, pick just one tool and
start playing around. The onlywrong move is not starting.
(14:59):
Yeah, I hope you start havingfun with these tools. It is
amazing what's possible. Here'sa quick recap of what we
covered. We already discussedthat there's a 16% AI gender gap
in adoption of AI men adopt it16% more than women, and it
matters because it's putting usbehind. And the more women who
(15:21):
avoid AI, the more AI becomesbiased towards a male point of
view, which that I cannot abide.
We also talked about the 10tools that save you over 60
hours monthly. And then my call,my request, my permission for
you to shift from perfectionismto action. Get messy and let AI
help you clean it up and do itquickly, because the faster you
(15:42):
go from ideation to action, thefaster your business grows.
These aren't just tech tools.
These are your liberation plan.
This is how you get to sit herewith messy hair on a Thursday
morning ready to share yourwisdom on a podcast. I couldn't
do it without AI next steps. Ifyou really want to get into this
(16:05):
further, you can join our freeLinkedIn group AI at work and
connect with other femalefounders using AI to lead better
and scale faster. Let's closethe gap together. Y'all.
Thanks for listening to she'sthat founder, subscribe, share
and leave a review if thisepisode sparked new ideas or
helps you feel more empowered, you've got this, and I've got

to be a female founder that issuccessful in this world. I am
here for it, and I'm here foryou. See you next time you.
