choose between growing yourbusiness and actually enjoying
the warmer weather with yourfamily, this episode is for you.
We're going to talk about howyou can streamline your business
this summer so you can actuallyenjoy time out of the office
and beyond without sacrificinggrowth or your peace of mind.

(00:21):
Welcome to the Mind your Timepodcast.
I'm Shannon Baker, your coffeeloving host and business
operations strategist.
If your business feels chaoticand you're tired of spinning
your wheels, you're in the rightplace.
Each episode contains bothstrategies and practical
insights rooted in my power andmotion framework to help you
streamline your operations, reclaim your time and grow

(00:42):
without burnout.
So, whether you're juststarting out or scaling the six
figures and beyond, I'll helpyou simplify, set boundaries and
build a business that works foryou.
So grab a cup of coffee or yourfavorite beverage and let's
dive in.
I remember the first summerafter I cut back my hours at my
full-time job, which was alsomostly remote, and I thought I

(01:02):
could finally enjoy theflexibility I'd craved for years
.
I envisioned myself sleeping ina little, taking spontaneous
weekday trips with my daughter, maybe even working at the beach
with my iced coffee, but that'snot what happened in any way,
shape or form.
Instead, I found myselfscrambling to keep up.

(01:26):
My email inbox was overflowing.
I had no real systems to keepthings moving when I wasn't
working, and I felt guilty everytime I stepped away to work on
my business, even though summeris supposed to be fun, right?
Even though summer is supposedto be fun, right.

(01:46):
Well, I learned something verypowerful that year Running a
business without back-endsystems is like trying to hold
water in your hands.
No matter how hard you try, things slip through the cracks.
That was when I realized that Iwas in hustle mode and I needed
to build a business thatsupported my life instead of

(02:07):
draining the life out of it, andthat would require structure,
being intentional about how Iuse my time and, most
importantly, a mindset changewas required.
I had to be willing to shiftthe way I thought about work and
rest.
To give you a little bit morecontext about my journey in case

(02:27):
you're new to the podcast, I'vebeen an entrepreneur for over
25 years.
I've done wedding and eventplanning, floor design.
I even sold Tupperware and MaryKay, and while I loved these
creative ventures, they didn'tactually give me the freedom
that I was looking for.
In fact, they actually took upmore of my time, which meant

(02:49):
less time for my family.
And all of this was happeningwhile I was working full-time as
an executive assistant, whichwas demanding in itself.
At first, the busy pace itdidn't bother me, but once my
daughter started school, Istarted to see just how much my

(03:10):
business was running me, insteadof the other way around.
So one day, I was enjoying acup of coffee with a good friend
and she suggested that I use myskills and experience to start
a virtual assistant business.
Being the analytical thinkerthat I am, I had never heard of
this.
So I sat in my cubicle, frustrated, craving control of

(03:33):
my time, and I decided to dosome extensive online research.
Then I talked to my husband andin 2012, I launched my virtual
assistant business whilecontinuing to work full time,
and I thought that that wasfinally going to be the thing
that would give me back controlof my time and it did.

(03:55):
Until it didn't, I have to tootmy own horn for a moment and say
I'm good at what I do and mybusiness grew very quickly.
But before long, I was stuck inthat same cycle chasing money,
recreating the will for everyclient, spending way too much
time on freebies, buying eBooksand DIY courses that didn't give

(04:17):
me real results, or at leastthey didn't last.
Six years later, I was burnedout and started questioning if I
should just shut it all downand focus on working for someone
else.
So after I talked to my mentor, she told me something I will

(04:37):
never forget.
She said don't quit Shift.
So that summer, I took a stepback.
I spent more time with mydaughter and I gave myself space
to really think about what Iwanted.
I invested in coaching, I gotclear on my mission and purpose
and I finally started creatingsystems in my business so that

(05:01):
it could support the life Iwanted to live.
And in February 2019, I burnedit all down.
I ended all my contracts anddecided it was time to
reevaluate what I wanted, to getreally clear on my mission and
my vision and design a businessthat actually supported the

(05:22):
lifestyle that I wanted.
If I was going to even start anew business, I had to be very
clear.
So I went back to workpart-time to give myself time to
really think through it,because in the end, we still had
bills to pay.
So in 2021, I decided to throwmy hat back into the arena and I

(05:43):
started the Shannon Baker, butI kept it very general because I
wasn't sure where the journeywas going to take me this time.
So over the next few years, Iinvested in quite a few paid
strategy calls, which helped meget really clear on my mission,
my vision and my purpose, and itshaped the way that I updated

(06:04):
my services, and it even shapedand reshaped this podcast.
I didn't just want a businessthis time around.
I wanted to make sure mybusiness was aligned with my
values and would truly give methe freedom that I wanted and
deserved, because I wasdetermined to prioritize my
faith, my family and myself.

(06:25):
That clarity became thefoundation that this business is
built on so fast.
Forward to 2023, I left thatpart-time job for good and fully
stepped into a business that isbuilt on strategies and systems
.
February 2024, I launched TSBManagement Solutions, and

(06:47):
everything I do now is alignedand based on my power and motion
framework.
That's my signature process.
That reshaped my consultantservices.
It reshaped this podcast andthe content that's on it.
It also helped me revamp theMighty Society Systems Insanity
Suite.
Everything is built on thatframework, including my success

(07:11):
up to this point, and I feltobligated to share everything
that I've learned on my journeyso that you can understand I get
you, I know the struggles, andyou don't have to figure this
out on your own.
That's why I'm so passionateabout helping you streamline
your business to actually liveyour life this summer and beyond
.
Actually, because I know whatit feels like to be stuck in

(07:33):
survival mode, wanting a betterway to do things but not knowing
where to start, and that's whatthe founder circle inside of
the Mighty Society SystemsInsanity Suite is all about.
But I'm going to talk aboutthat more later.
Right now, let's talk about theseason that you're in.
This episode is intentionallytimed for the season where many

(07:55):
of us feel pulled in multipledirections.
Right, the weather is warmer, the days are longer, the kids
are out of school or about to beout of school, your clients may
be traveling more, whether it'sfor conferences or taking
vacations, so work for them isgoing at a slower pace, and
you're probably craving morespace to enjoy the summer
weather as well.

(08:15):
And guess what?
None of that is a problem.
It's actually an opportunity.
You just need to take advantageof it Now.
I'm sure you've heard thephrase summer slowdown before.
This slower pace is your chanceto reset, realign and set up
systems that are going to serveyou long term, way after the
warm weather is gone.
But we need to start byshifting the way you think about

(08:39):
this season.
Summer isn't about just takingtime off and losing momentum,
and it's not about fallingbehind.
It's about creating room forwhat matters most.
The truth is, you canabsolutely take time off, enjoy
time with your family and stillkeep your business moving
forward, but only if yourbusiness has systems that

(09:00):
support you.
So let's talk about what thatactually looks like.
If you don't already have aweekly planning routine, now is
the time to create one, and Idon't want you to overthink it.
Set aside 20 to 30 minutesevery week and just sit down,
look at your calendar, list outyour priorities and block out
time for things that matter bothin your personal life, but do
that first and then work on whatyou need to do for your

(09:24):
business.
My motto is structure gives youfreedom and systems are
self-care.
So I time block my calendaryear round, but I adjust it
based on the season that I'm in.
During warmer months, I shortenmy work blocks and the hours
that I work, and I intentionallyschedule more life-giving

(09:44):
activities like coffee datesoutside with my girlfriends or
meeting new business owners, walks outside, day trips to the
beach or just simply time for meto unplug.
And inside the systems andsanity suite, we use planning
templates to help us map out ourweek so that it reflects what's
happening in real time, notjust some ideal version of it.

(10:07):
That doesn't really work.
And let me tell you about one ofthe women inside of the
membership.
We're going to call her Jasmine.
When she joined the SystemsInsanity Suite, she was feeling
completely overwhelmed.
She had just launched her VAbusiness.
She was juggling client work, kids at home and a to-do list
that never seemed to end.
Does that sound familiar?
Is that you?
But this is what she did.

(10:29):
She kept telling herself sheneeded a better schedule, but
Jasmine's not really good withtime management, so she had no
idea where to start.
So she booked a legacy inmotion session with me and
that's what a lot of new membersdo so that they can get a
custom roadmap, so that theyknow where to start to build
their back office.

(10:50):
But that two hour conversationreally helped her get a clear
picture of what was happening inher business behind the scenes.
We quickly realized that shedidn't have a solid onboarding
workflow, which is common.
Her schedule was overloadedwith administrative tasks that
could be automated that's alsocommon.
And she wasn't building in anytime for rest in her schedule

(11:13):
that is definitely common.
But here's what's reallypowerful Within just a few weeks
of using the resources insideof the membership along with her
action plan, jasmine's energycompletely shifted.
She started using the planningguide to create a lighter summer
schedule.
She used the summer hoursmessage template to communicate

(11:35):
the changes to her hours to herclients.
She got clear on her weeklypriorities.
She blocked her timeaccordingly and she built in
protected rest days, and for thefirst time, she felt like she
was the one running her business, not the other way around.
She even told me she didn'trealize how much she was holding
on to until she finally had asystem that helped her breathe

(11:59):
again.
And that's what I want for you.
That's why the second strategyis all about routines.
Now, no, you don't need tooverhaul your entire life or
your business.
Just start with one small shift.
For me, that's my morningroutine.
Before I even look at my phoneor open my laptop, I sit outside

(12:21):
on my deck with my cup ofcoffee and I spend time in
stillness that centers me andsets the tone for my day.
Or you might be one thatprefers an evening routine.
Maybe think about putting yourphone away 30 minutes before you
go to bed, or just have atech-free dinner with your
family.

(12:42):
No matter what the routine isthat you decide to implement,
the goal is not just to protectyour time.
The ultimate goal is to protectyour energy.
That's why, inside the SystemsInsanity Suite, we treat
routines as something that'ssacred.
They're not just fluffy add-onsand it's not just a buzzword.
Routines are essential systemsthat keep you grounded,

(13:04):
especially as your businessgrows.
Now here's where the realtransformation happens.
If you want your business torun even when you're not at your
desk, you need systems.
Now, in my world, a system is adocumented, repeatable process
that you can automate ordelegate, and you always have to

(13:25):
streamline it.
Start with processes that touchyour clients directly Things
where you can use intake forms.
Communication needs to be clear, online scheduling.
Now, I know talking aboutsystems can feel overwhelming
and, quite frankly, it's boring, but this isn't about building

(13:46):
an empire overnight.
It's about identifying whereyou're wasting energy and
resources and replacing it withefficiency and consistency.
Now, I'm not going to go intothe six core systems that you
need in your business today, because there are other episodes
already available where Ireally deep dive into them, but

(14:06):
I recommend you start with theepisode is your business growth
stuck?
Implement these six coresystems.
I'm going to put a link in theshow notes for you to go listen
to that.
That's a great place for you toget an idea of the six that you
absolutely need to giveattention to.
But now let's talk about onesimple one that you can

(14:27):
implement today.
It's an online scheduler.
That's one of the six systems.
It lets people book calls withyou on your terms, according to
your schedule, in real time, even when you're not online, and
you need to use intake formquestions to gather the data you
need in advance so that youbasically screen people and

(14:49):
determine if they are even aviable lead that you want to
pursue.
Most importantly, an onlinescheduler sets boundaries around
your availability and, again,it's convenient for everyone.
No more back and forth emails,no more 10 pm messages or DMs
inquiring if you're freetomorrow.
Little tools and tweaks likethis can have a big impact on

(15:13):
your mental bandwidth, andinside the systems and sanity
suite there are templates andtech walkthrough videos that
show you how to set your toolsup with ease.
So let's recap what we've talkedabout today.
One structure gives you freedom.
You need to have a weeklyplanning routine that accounts

(15:39):
for the current season your lifeis in and helps you prioritize
what matters most to you, andyou also need to create more
space for rest, fun and focus.
We also talked about the impactthat routines have.
Small routines lead to bigresults.
So, whether it's a morningroutine that's quiet, or a

(16:01):
tech-free dinner or an eveningroutine, focus on protecting
your energy, because thissupports your ability to show up
consistently without burnout, not just in your business but,
most importantly, in your family.
And we also talked about howsystems simplify everything

(16:30):
scheduler, no matter what it is,especially if it's client
focused.
You need to have repeatablesystems in place that allow your
business to run efficiently, consistently and smoothly.
That way, you can unplug andthings won't fall apart.
Now let me remind you you don'thave to hustle through summer
and you don't have to do thisalone, and you definitely don't
have to choose between running asuccessful business and

(16:52):
enjoying your life.
You just need the right systems, rhythms and support.
So I have a little homework foryou.
I want you to block time thisweek to review your schedule and
make space for joy.
It won't take long, just 20 to30 minutes.
And make space for joy.
It won't take long, just 20 to30 minutes.
Then choose one routine thatyou're going to implement to

(17:13):
protect that time and then auditone area of your business where
a simple system could save youhours.
Now, if you're listening tothis and you're thinking, this
sounds great and I want this, but I don't know where to start,
I want to invite you to join meinside the founder circle.

(17:34):
This is the first step tocreating a business that
