Still grinding 10-hour days and wondering why your business still feels chaotic behind the scenes?

Here’s the truth no one wants to admit, hustling harder isn’t the path to sustainable success. It’s the roadblock! And if you’re not intentional about how you use your time, your systems (or lack of them) will keep you stuck in a cycle of burnout, even if your revenue looks great on paper.

If you’re running a six-figure business but still feel like you’re the one holding it together with sticky notes and sheer willpower, this episode is for you.

You didn’t build your business just to be exhausted. You built it for freedom. It’s time to protect your time, create space to lead, and stop sacrificing your sanity to hit your next milestone.

This is a real-talk conversation about why doing more isn’t helping—and what to focus on instead if you want your business to grow without draining you. Inside, I’m sharing:

1:48 - The critical mindset shift that helped me prep for multiple events, a family celebration, and a major summit without dropping the ball

3:15 - The importance of pausing and reflecting on your accomplishments

6:04 - How a Legacy In Motion Session gave a growing entrepreneur the clarity, structure, and custom 90-day plan she needed to finally get her systems working for her

10:34 - A quick exercise to help you identify what’s wasting your time and what you can stop doing this week to focus on what matters most

13:47 - The myth of productivity that’s keeping six-figure CEOs overwhelmed and overbooked

17:55 - Simple shifts you can make to protect your time and reclaim your role as the leader

Speaker 1 (00:00):

gave yourself credit for whatyou've accomplished recently?

small wins, this episode isjust for you.
Today, we're going to talkabout what it really takes to
grow your business withoutburning yourself out, and I
share a personal experience ofwhat happened in my life

(00:22):
recently that sparked thisconversation.
Welcome to the Mind your Timepodcast.
I'm Shannon Baker, your coffeeloving host and business
operations strategist.

(00:43):
streamline your operations, reclaim your time and grow
without burnout.
So, whether you're juststarting out or scaling the six
figures and beyond, I'll helpyou simplify, set boundaries and
build a business that works foryou.
So grab a cup of coffee or yourfavorite beverage and let's
dive in.
Let me tell you something thepast couple of months have been
a whirlwind for me.
March and April were some ofthe busiest months that I've had

(01:07):
in a long time.
We had a destination weddingslash vacation plan, so I took
two full weeks off, which meanteverything had to be prepped and
handled before I left, not justfor me but also for my clients.
On top of that, I was out oftown providing event production
support for one event rightbefore vacation and prepping for

(01:30):
another one that actuallyhappened the day we left.
So I had to make sureeverything was lined up so that
the team could execute withoutme, which honestly took a lot
more planning than usual, and Ihad to tweak a few systems
behind the scenes to make surethings still flowed efficiently.
Then, when I got back fromvacation, I had to jump right

(01:51):
into preparing for a veryspecial religious occasion with
my family, and as soon as thatwrapped up, I was packing again
to head to Arizona to supportthe no Summit.
So when I returned home, jetlag hit me hard and I was down
for three days.

(02:12):
And I did all of this whilemanaging logistics for my
client's May events and stillhad to take care of the normal
things for my family, whichincludes my parents.
So yes, I've been dealing witha lot, but even with everything
going on, I didn't feel like Iwas drowning.

(02:33):
Are you wondering how is thateven possible?
Well, basically it's because Ihad a solid plan, I had systems
in place and I was reallyintentional about where my time
and energy went before each tripand when I returned home.
Podcast episodes were scheduledin advance and my clients were

(02:57):
aware that I was going to beoffline, so we prepped for that
in advance as well.
This was a huge accomplishmentthat I am very proud of and that
made me realize somethingimportant that I want you to
think about today when was thelast time you actually sat down

(03:19):
and really reflected on all ofthe things you've accomplished
lately?
I mean really paused and lookedat your progress?
If you're anything like me,it's probably been a minute.
It's really easy to get caughtup chasing the big wins and then
we completely overlook thesmall ones.

(03:40):
But those small wins but thosesmall wins they're what keep us
going.
They're proof that things aremoving forward and we're
actually making progress, evenwhen it feels like we're stuck.
That's exactly why step five inthe Power Emotion Framework is

(04:09):
remember, refine review, becauseif we don't take time to
recognize what's already workingand what we've actually
accomplished, we end up missingthe chance to build on that
momentum.
So we stay stuck in that what'snext mindset without ever
feeling like we're actuallymaking progress when we are, and
if you're at the very beginningof creating or building your
back office, that's okay.

(04:30):
The Mighty Society Systems andSanity Suite was created to give
you a simple starting pointthat actually makes sense, and
it doesn't contain fluff andit's arranged in a way that it
shouldn't overwhelm you, becauseI know you've built something
real, you've got clients, youhave a proven offer and you have
the kind of drive that mostpeople only wish they had.

(04:53):
Now, on the outside, I know itlooks like you've got it all
together, but behind the scenesit's a different story.
You're probably operating offof sticky notes, late nights and
a never ending to-do list, which most of that is in your
head.
You're always working onsomething, always putting out a
fire, and because of that, you're starting to wonder if all

(05:17):
this hard work is actuallygetting you where you want to go
.
If you are shaking your headyes to some or all of that, make
sure you pay attention.
We need to flip the scriptWorking less.
It isn't lazy, it's smart.
Let me tell you how I know thisand how we can do this.

(05:38):
Today, we're going to talkabout the myths that keep you
stuck in hustle mode, how youcan create a system that
protects your time and energy, and why giving yourself
permission to work less isactually the smartest way to
grow your business.
And no, you don't need to domore, you just need a better way

(05:58):
to operate, and I'm going tohelp you with that, if you let
me.
So this reminds me of one of themembers inside of the Mighty
Society.
When she joined, her businesswas already growing.
She had clients, she wasshowing up online doing all the
things, but behind the scenesthere was no organization.
Everything lived in her head,so every day it was a scramble

(06:22):
for her to keep up, and althoughshe had access to all the tools
and resources inside of themembership, like a lot of high
achieving women, she just didn'tknow where to start.
So she booked the Legacy inMotion session with me, and that
session was the turning pointfor her.
Together, we mapped out exactlywhere she was in her business,

(06:44):
what was working, what wasn'tand what was missing.
What was working, what wasn'tand what was missing?
To her surprise, there weremore processes in place than she
thought, but all of them neededwork.
So we picked her goal for thenext 90 days, and the custom
action plan that she receivedidentified what systems needed
her immediate attention, and shereceived a detailed timeline of

(07:05):
how we could work together toget those systems up to speed so
that they could support hergoal.
Now, if you've built momentumbut your back end is still
feeling messy, this is your sign.
Now it's a time to streamlinewhat you've already built so
that you can grow it and itwon't constantly rely on you.

(07:26):
So during this member's actionplan review call, she told me
that, while she has a lot to do,she knows that getting her
systems in place is really goingto set her up for long-term
success, and she's lookingforward to being able to go to
Italy for two weeks and not haveto worry about her business.
How does that sound to you?

(07:48):
What is your dream vacation?
That you want to take two weeksoff?
Keep that in mind.
The action plan I provided forthis member captured all of that
, and we identified the exactsystems and resources inside of
the membership that she neededto use.

(08:08):
First, to stay focused andthat's what I help every member
do Get clear, get structured andfinally take back control.
Most of us make the mistake ofthinking we need to fix all the
things at one time, when reallywe just need to focus on the
right things, and for thismember and every other business

(08:29):
who has booked a legacy emotionor a limb session with me,
that's when things start toclick together and make sense.
One of the greatest benefits ofbooking a limb session when you
belong to the membership is theresources you need to implement
on your own.
You already have access to them.
And that member I mentioned shewas able to make a huge pivot

(08:53):
in the way her business operates.
She created services that weremore aligned with her passion
and her values.
Now she charges what she isworth and when she talks about
what she does, it's wonderful tosee how confident she is.
She can explain it clearly.
Her pricing reflects herexperience and because of the

(09:14):
client experience that she canprovide.
Now her business has a solidback office and it's not
draining her anymore.
So her business isn't justrunning smoother, it's finally
giving her the time and spaceshe needs to grow without
burning out.
And I know you didn't build yourbusiness just to be exhausted

(09:35):
all the time or working all thetime.
You built it to create freedom.
So now is the time for you toreclaim that original purpose,
your original vision and thistransformation.
It doesn't come about becauseyou work harder or you hustle
harder.
This happens when you pauselong enough to get clear, get

(09:59):
focused and make intentionalmoves that actually support your
goals and are aligned with theseason that your life is in.
And that brings me to today'stopic how do you go from being
busy to being productive andfinally create a business that
lets you work less and get moredone?
It sounds weird, but, trust me,it works.

(10:22):
But before we dive into thebigger shifts, I want to give
you a quick win.
But before we dive into thebigger shifts, I want to give
you a quick win, somethingsimple that you can do today
that is going to give youinstant clarity.
I want you to set a timer for10 minutes and we're going to do

(10:42):
a mini time audit.
First, open your calendar and Idon't care if it's digital or
paper, because I use both but Iwant you to look back at how you
spent your last five work days.
Then ask yourself what was busywork, what actually needed to
be done and what is one thingthat you can stop doing today,

(11:06):
this week, so you can focus onwhat really matters right now.
This quick check-in on how youspend your time.
It is powerful.
It can reset your mindsetbefore you even touch a task
list.
And this is exactly the kind ofhabit stacking that we focus on
inside of the Mighty SocietySystems Insanity Suite.

(11:27):
It's about helping you beintentional and stay intentional
so that your business runs moresmoothly with less effort from
you.
Now, if that mini audit makesyou realize just how much you
have been juggling, that is agood start, because awareness is
the first step to change Again.

(11:49):
You don't have to fixeverything this week.
I need you to just start withone shift and I'm going to help
you with the rest.
When you're ready to go deeper, there's a resource waiting for
you inside of the SystemsInsanity Suite.
It's called a Task AuditWorkbook.
Insanity Suite it's called atask audit workbook.

(12:12):
It builds directly on thispractice and walks you through a
simple process to help you do afew things.
You will be able to identifywhat you need to delegate, delay
or delete, but it starts with afull brain dump of everything
that you're working on.
Then you use the prompts in theworkbook to sort through and
decide what really deserves yourimmediate attention.

(12:35):
So by the time you finish theworkbook, you have a clear
action plan and a whole lot morepeace of mind, because you know
what you should be spendingyour time on.
Because, let's be real, youdon't need a longer to-do list.
You need clarity on whatmatters most right now, and
that's what you need to bespending your time on.
That's what this workbook givesyou, and it's just one of the

(12:58):
many resources that areavailable to members inside of
the systems and sanity suite.
It pairs perfectly with whatwe're talking about today, which
is finding a better way to workthat gives you time back
without having to sacrificeresults.
But now let's talk about thedeeper shifts that will help you
keep this type of momentumgoing, because if you want to

(13:19):
consistently work less and getmore done, it really starts with
your mindset, and then you needto have systems to support that
.
So let's start with the firstshift.
You need to let go ofproductivity myths, and there
are a ton of them out there.
But if you're constantlyfeeling like you should be doing

(13:39):
more, you're not the only onethat feels this way, because
unfortunately, it's the waywe're conditioned.
We've been told the mostsuccessful people are up at 4 am
or 5 am and they start theirday with a workout.
Well, first of all, that's notme, and I consider myself to be
successful, and I know severalother successful women, and that

(14:03):
is not how they live theirlives.
So here's the truth More hoursdoes not equal more impact.
Every single one of us gets thesame 24 hours each day, and
being productive doesn't meanyou have to be busy all day,
because busy doesn't meanproductive.

(14:23):
Real productivity is aboutgetting results because you
worked on the right things, andyou can only do this when you
have clarity and you work withintention.
So here's a real life examplefor you.
You could spend three hoursjumping between your inbox,
scrolling for inspiration onInstagram, tweaking your website
and creating images for socialmedia and Canva.

(14:44):
By the end of the day, you feellike you've been working
nonstop, but did you actually dosomething that mattered Now?
On the other side, compare thatto spending 30 minutes
documenting your onboardingprocess so you're ready to bring
on a virtual assistant and getthem up to speed before summer.

(15:06):
That one task saves you hoursdown the line and it creates
more space for someone to takework off your plate.
That's the difference betweenbeing busy and being productive.
Productivity is about workingwith intention.
Productivity is about workingwith intention.

(15:27):
So the time that you spendactually builds momentum in your
business.
Here's another myth Multitaskingmakes you more efficient.
Well, my friend, if you drankthat Kool-Aid, it doesn't.
It actually drains your energyand your focus.
Jumping between tabs, tasks andconversations makes it harder

(15:51):
for your brain to get into gearfor you to do the kind of focus
work that moves your businessforward.
You don't need to keep grinding.
You need to get clear on whatactually matters and protect
your time so that you can dothat work.
Well, let me tell you how thisusually plays out in real life.
You sit down.

(16:13):
You're like okay, today I'mfinally gonna work on my
onboarding process so I can getready to onboard a virtual
assistant.
So you open up your documentGoogle Doc, word, whatever you
use you jot down a few notes, you write down your name, your
address.
Then your phone buzzes.
You check the message, yourespond to a DM and, before you

(16:37):
know it, you're tweaking yourInstagram bio.
You're jumping into your inboxto answer random emails.
Then the phone rings, althoughyou didn't have any call
scheduled, and then you spend 30minutes on the phone.
By the end of the call yourealize this person was not a
good fit.
And, by the way, from thebeginning you should have

(16:59):
directed them to book aconsultation call, which would
screen them in advance via yourintake form to determine if
they're a viable lead that youeven need to consider working
with.
Now, next thing you know it'sbeen over an hour and that SOP
that you were supposed to beworking on, you still have a

(17:21):
document that's sitting therewith a few words on it, and it's
not because you weren't working, it's because you were doing
too many little things back toback at once instead of focusing
on the one thing that actuallymattered at that moment.
That is why being intentionalwith your time is so important.

(17:41):
It's not just about gettingthings done.
It's about protecting your time, protecting your focus, so you
can get the right things done, the things that are going to
move your business forward andgive you your time back later.
Now, the second shift that Iwant to move your business
forward and give you your timeback later Now.
The second shift that I want totalk about is building a system
that supports deep work andefficiency, because, again, you

(18:03):
don't need more time.
You need more structure aroundthe way you use your time.
That's where systems come in.
Now, most of the women that Iwork with believe me, the
challenge that they experienceis not that they're not
motivated.
A lot of times it's decisionfatigue.
There are too many options, toomany tools and they don't have

(18:25):
enough clarity to make adecision because they're
overwhelmed.
That's why creating a systemthat supports deep work is so
powerful.
So you can start by timeblocking your schedule for phone
calls, client work and to workon your business.
Then you have to get into thehabit of theming your days so

(18:47):
you know what to focus on andwhen to do it.
Here's an example.
And when to do it.
Here's an example Monday, forme, is a down day for me to
recover from a busy weekend andplan my week.
I have very specific days forspecific types of phone calls.
I have specific times every daywhere I read and respond to

(19:13):
emails.
That's just the beginning of mydaily system.
Now for you, if you're insidethe Mighty Society Systems
Insanity Suite, there are a tonof resources that walk you
through exactly how to do this, like there's a workbook that
helps you map out your weeklyroutine.

(19:33):
Then you can plug in recurringtasks in a way that actually
works with the season that yourlife is in Because, let's be
honest, that changes.
Your schedule needs to accountfor that.
Now the third shift that I wantto talk about is working less on
purpose.
If you are constantly in gomode, your brain never gets a

(19:56):
chance to rest, and without rest, your best ideas, they don't
have space to come through.
One of the biggest lessons thatI've learned and that I teach
is working less creates room forbetter decisions.
When you shorten your workhours, you force yourself to
focus on what actually moves theneedle forward.
So instead of sitting theretrying to figure out how you can

(20:20):
get all the things done, askyourself what can I let go of?
That goes back to that taskaudit workbook that's available
inside of the membership, available inside of the
membership Also inside of thesystems and sanity suite.

(20:41):
We take time management veryserious, because having a great
resource is great, but if youdon't know what you need right
now, in the season that yourlife is in, all of it just
becomes more noise.
That's when members generallybook a legacy emotion session
with me, because they want toknow exactly what they need to
focus on, and that customizedaction plan that they get helps
them then identify the resourcesand tools inside of the

(21:05):
membership that will help themget results faster.
And then, when they get stuckon their SOS button and I would
love that for you too they getstuck.
I'm their SOS button and Iwould love that for you too.
So let's take a moment andsummarize what we've talked
about today, because the shiftsthat we've covered.
They sound simple, I hope, butwhen you commit to them, they

(21:26):
actually create powerful resultsto help you take control of
your time.
So first we shattered the myththat being productive means
being busy, means you'reproductive.
Just because your calendar isfull or you're constantly
working does not mean thatyou're making progress, because
productivity is not aboutchecking boxes on a bunch of

(21:47):
random things.
It's about being focused, beingcrystal clear about what you
need to be working on andgetting it done.
We also talked about building asystem that protects your focus
and your time and allows you todo deep work, because when your
time has structure, your mindhas space.
Without systems, you areconstantly reacting to things

(22:08):
throughout the day and that, myfriend, keeps you in survival
mode.
Systems create a steady andefficient flow.
They help you be consistent, they help you make decisions
faster and they give you spaceto show up as the leader your
business needs you to be.
And then, finally, we unpackedwhy working less on purpose is
the key to building a businessthat supports you and allows you

(22:30):
to live your legacy.
Shortening your work hoursdoesn't mean you're slacking off
.
It's a strategy.
When you choose to focus onwhat matters most, based on the
season that your life is in, youmake space for clarity, better
decisions, real growth and foryou to enjoy life outside of the

(22:53):
office.
That is how you build abusiness that is profitable,
sustainable and aligned withyour life.
So, again, these shifts are notabout doing more.
They're about doing whatmatters, building with intention
and creating a business thatworks for you instead of the
other way around.
And if you're ready to turnthis clarity into action, the

(23:16):
Mighty Society Systems andSanity Suite is here to support
you.
It's where we simplify the backend of your business, put
boundaries in place to protectyour time, and then we help you
build the structure that youneed to move forward with
clarity and confidence.
