doesn't just cost you time, itcosts you the right clients.
Let's get into what you need toknow to reset your scheduling
system, but more importantly,how to design a calendar that
protects your energy and worksto support your life instead of
against it.

Have you ever been in the middleof cooking dinner and your phone
rings?
It's a client who missed adeadline, and now they want you
to save the day again.
So they say, I'm sorry, I'm justgetting to your email.

Is it too late for you to takecare of this for me, even though
I missed the deadline?
Now, if you're a people pleaserlike I used to be, thinking it
would make my clients happy, youmight say yes, even though
inside you are irritated becausenow you have to work late into
the night to get it done.

Then suddenly you're in a badmood, your family doesn't have
your full attention even afterdinner, but your client is happy
right now because they got whatthey wanted again, even though
they didn't give you what youneeded on time again.
And guess what?
This is going to keep happeningunless you change how you

operate.
That's why the first step totaking control of your calendar
is setting clear boundaries.
And you need to start by settingoffice hours.
And I have a secret to sharewith you.
Office hours are not the same asyour working hours.
Office hours are when you'reavailable for client
communication, things likeresponding to emails, taking
(02:17):
calls, etc.
Working hours are when youactually get stuff done.
And as an entrepreneur, that canbe any time of the day, any day
of the week.
It's up to you.
Here's a perfect example.
Maybe your office hours areMonday through Friday from 9 to
4, but because of schooldrop-offs, you don't start
(02:39):
working until 10.
Well, that's okay as long as youclearly communicate that.
And personally, I don't startresponding to emails until after
9 a.m.
Because my morning routineusually takes an hour or more,
and I stop responding to emailsat 5 p.m.
Now the game changer for me washow I started managing my inbox.

Most of the time, I only checkmy emails three times a day.
Any emails that require aresponse when I check one last
time before I shut down mylaptop for the day, they're
scheduled to go out the nextbusiness day during my office
hours.
This forces me to stick to myboundaries and reinforce them
(03:24):
with others, and they don't evenknow it.
Now, if you're thinking, well,Shannon, that sounds nice, but I
can't just stop checking emails.
Well, here's the thing (03:32):
you
don't have to get perfect with
it overnight.
I didn't.
I started by cutting back tojust checking my emails four
times a day, twice in themorning and twice in the
afternoon.
Well, one of those times was inthe evening, of course.
And when I got comfortable withthat, I scaled it back to three
(03:54):
times a day.
Remember, it's all aboutprogress, not perfection, and
reinforcing that with your timethat helps you put those
boundaries in place and keepthem.
And here's a tip that can helpyou with that right away.
Set up an autoresponder thatlets clients know that you've
received their message andyou'll respond within 24 to 48
(04:15):
business hours.
That way they feel acknowledged,and you give yourself the space
that you need to reply duringyour office hours instead of
reacting the moment that emailhits your inbox because you're
chained to it.
Now, here's the exact line thatyou can put in that
autoresponder today.
Thanks for your message.

I've received your email andwill respond within 24 to 48
business hours during my officehours.
If it's urgent, please mark itas such in the subject line.
Let me tell you, that onesentence can give you back hours
every week because you are nolonger chained to your inbox.

But the truth is the firstperson who has to change their
mindset about this is you.
Once you set new rules aroundyour time, the real shift comes
from you sticking to them, evenwhen it feels uncomfortable.
And it will feel uncomfortableat first.
Now, if you listen to episodetwo, you'll remember that we

talked about your onboardingprocess and how it's really
leadership in disguise.
Your calendar is where the twoconnect because boundaries
around your calendar actuallystarts with your onboarding
process.
See, when you set expectationsup front, that's in your welcome
email in your service agreement,and you review them during your

kickoff call, you're not justtelling clients when you're
available, you're teaching themhow to work with you so they
respect your time.
This is exactly the kind ofreset I guide my members through
step by step with the righttools to make it easier for them
to stick to it.
Now, once you've set andcommunicated those boundaries

around your time, the next stepis to look at how your calendar
actually functions day to day.
Because even if you told yourclients your hours, if your
calendar is messy and it'salways open, those boundaries
are not going to work.
And believe me when I say you'regoing to have clients that test
those limits.
That's why this reset is soimportant.

So the first lesson is that thatmessy calendar is costing you
more than time.
When your business and yourpersonal calendars are not
synced together, self-care andfamily time is going to vanish
right before your eyes, and yourbusiness is going to consume
your life.
Now, I know you may not be surehow to sync the two together.
So here's a quick starting pointfor you.

Pick one calendar, whether it'sGoogle, iCalendar, or something
else, whatever you will useevery day, and then make sure
every client call, meeting,request, all of that is in there
first.
Things for your business.
But I also want you to addpersonal non-negotiables.
That's things like schooldrop-offs, workouts, family

time, doctor's appointments, anyrecurring appointments.
That way you can look at thatdigital calendar and see at a
glance whether or not you'reover you're double booking
yourself or overbooking.
And you don't need a fancysystem to start doing this.
You only need one calendar thatshows everything in real time.
(07:29):
And then let's talk about yourdiscovery calls.
Because when they're notfiltered using an intake form,
wrong fit clients, they justwaste your time and break your
focus.
And when you're overbooked, youcan't deliver your best work and
your confidence, it takes a hit.
Now I know you've probably toldyourself, well, I'm going to fix
my calendar when I get moreclients.
(07:49):
But honestly, more clients isnot going to fix a broken
calendar.
It's only going to magnify thecracks and you're going to be
more drained and morefrustrated.
Every week you wait to fix thisis another week your calendar
runs you instead of the otherway around.
I mean, think about it.
How many hours did you lose justthis week with back and forth
(08:11):
emails to schedule one call orwrong fit discovery or sales
calls?
How about late night clientemergencies?
If that continues to happen, howmuch time will you have left to
do your best work or actuallyenjoy your life?
Not much.
And this next lesson is a commonmistake that I don't want you to
(08:33):
make.
Having a scheduling tool is notthe same as having a scheduling
system.
Because I know you might alreadyuse something like Acuity like
me or Calendly, but if it is notsynced with your personal
calendar and reflect things inyour business accurately, that
means it's not built around youractual work capacity.
(08:54):
Then it's also probably not setup with filters, which are
intake forms.
So it's just another open doorto your time.
And if you think you can justhire a VA to handle your
schedule, let me tell you, youcannot delegate what you haven't
defined.
If your scheduling system isn'tclear or your calendar doesn't

reflect your life in real time,your virtual assistant can't
reinforce those boundariesaround your time, and both of
you are going to be stuck andfrustrated.
Not to mention, you will bepaying them to manually complete
something that could be totallyautomated and more efficient,
which is a waste of time andmoney.

is what you want.
When this happens, you stopbeing on demand and you start
being in demand.

And while they may push back atfirst, stand firm and before you

know it, they're going to besetting boundaries in their
business too because they'refollowing your example.
Now, over the last two episodes,if you've listened to them and
done the challenges, you'vealready done some detective
work, which includesdecluttering the steps in your
onboarding process and creatinga document or form so you can
start repeating yourself duringonboarding.

That work probably showed youthe questions you answer most
often or the information you endup chasing clients for time and
time again.
So this week, I want you to takethat discovery and apply it to
your calendar.
So here's this week's quick winchallenge.
I want you to set up thatautoresponder that I gave you
earlier in this episode with theexact lines that I gave you.

That's going to give you backhours.

A messy calendar costs you moretime, it drains your energy,

And your tools by themselves,they don't solve the problem.
Without clear boundaries, a toollike an online scheduler is just
another open door to your time,and we need to close that.
And when your calendar isstructured, you actually create

You attract the right clients byusing intake form questions on
your appointments, and thatfinally helps you start feeling
in control of your time.
That's the reset you need.
