Finally, I'll share a system that you can use to reflect on the past week, learn from your mistakes and move forward, optimizing your time with those lessons.

My name's Jenna Pasha.
And here I share with you thelatest bio-hacks mindset shifts
and calendar control strategiesto get to the other side of
busy.
I'll bring you insights on howto get more done during the
Workday, so you can shut it offand prioritize what truly
matters.
And today's conversation.

I'm going to share with youthree systems that you need to
get more done so you can standabove the scatter and stress.
And really have a focused planfor your week feeling
accomplished and moving forward.
Make sure you stick around tothe end where I'm going to share
with you an easy way to cut downon the time you take to process

email, which can be the bane ofsome of our existence.
So don't miss that.
All right.
But first let's dive into ourthree systems system.
Number one, that you need tostep above the disorganization.
Is proud to decide what to dotoday at work.
So many clients that I talked tosay, there's just so much on my

(02:31):
list.
I come to work feeling scatteredand an organized, and so I just
tackle the first thing in frontof me.
Which may not be the mostimportant or urgent thing, but
we feel like we're gettingsomething done.
Right.
I remember a day where I wasworking in a corporate marketing
department.
And had pages and pages of todues and amazingly, no meetings.

(02:52):
So I thought this is great.
I'm just going to rip through myto-do list and I'm going to get
caught up.
And I had a list.
Third, he things long, so manypages back to back.
But I sat down and I grinded inand I did the work.
And I got to the end of the dayand I thought, oh, I'm going to
feel so accomplished.
But I still knew that I had allthese other deadlines coming up,

(03:13):
all these other meetings and Ihadn't worked on the important
work.
Because I was so busy trying tocheck off the things on this
list.
So our to-do lists are reallyjust a distraction.
They're taking us away from theimportant urgent work.
Another problem.
That we have, as we use ouremail is our to-do list.

(03:34):
And then we have a hard timestepping out and prioritizing
what truly matters.
So here's what you can do.
Instead, we need a system tohelp us decide what to do today.
And that system is to prioritizea daily, big three.
And you've heard me talk aboutthis before, but it is a
foundational way.
To move yourself forward first.

(03:55):
Y three, because the human braincan't focus on more than three
things at one time.
Or arguably, maybe one.
But by choosing only threethings we are truly focusing in
on what's most important.
This also helps us get to theend of the day, feeling like
we've actually accomplishedsomething because the things we
put on that list are only goingto be the important and urgent

(04:17):
things.
So we get to the end of the day,not asking that question of.
I was busy, but did I really doanything?
Was I really productive?
Because we know that what madethat list truly was.
So, how do we know what makesthat list?
Right?
How do we decide what makes thedaily big three?
The first question that you askis what is urgent and important.

(04:40):
What is urgent and importantmean will important means you're
taking a look at the things thatgrow your business or the things
that are part of your jobdescription that move you
forward that move your teamforward.
And you look at those coreactivities.
Those are the important piecesof work, strategic initiatives.
Um, Business development.
Uh, putting together newproducts.

(05:00):
This is all important work.
An urgent means it has some kindof deadline.
Right.
So those are the things that aregreat candidates for your daily
big three.
Now you might bill your dailybig three with urgent and
important items, which is great.
Or you might say everything isurgent important.
I don't know what to do next.
Then let's simplify.

(05:21):
Okay.
There's an amazing book by GaryKeller.
It's called the one thing.
When it uses this focusingquestion, when you get
overwhelmed.
You simply just ask.
What is the one thing I could doright now that such by doing it,
everything else would be madeeasier or unnecessary.
Now what this focusing questiondoes is it really helps you get

(05:42):
full year on what is the mosturgent important thing right
now?
What's the one thing I could donow that makes everything else
easier or unnecessary.
And then you do that thing.
And you ask it again, right.
By using these filters.
We really understand the mostimportant work to do today.
We stop wasting time wonderingwhat we should do and start

(06:05):
actually doing the work.
So system number one.
Is implementing these filters tohelp you get the right work done
and decide what to do today.
System number two, that you needto regain control of your
calendar on remove yourself fromthis scattered and unfocused
mind.
Is to have a structure for yourweek.

(06:28):
I encountered so many clientswho just accept every meeting
that comes their way.
They have a two hour black andthey say, great, what am I going
to do with this?
We waste a lot of time being thepilot, deciding where the claim
is going to go.
Rather than actually letting theplane fly.
Right.
So we need to have a plan forour weeks.

(06:51):
Uh, structure for our weeds,such that when we show up with
these one or two hour timeblocks of areas, where we can
get something done, we alreadyknow what we're going to do in
that time, rather than wasting ahalf hour, trying to figure it
out.
So, what does that structurelook like?
Well, it's creating an idealweek for yourself.

(07:11):
It might start with themes andI've talked about this in
episode four, so I won't divetoo deep in this.
If you want to go check thatout, I'll link to it in the show
notes.
But ultimately it's thinkingabout the types of work that you
do every week, every month andorganizing them into themes
Monday might be your content andcreative days.
Tuesday might be your financialand strategic days.

(07:32):
Wednesdays and Thursdays mightbe client meeting or external
days.
Friday might be.
Team meeting days or vendormeeting days, or maybe a no
meeting day where you reallybuckle down and get the work
done this truly moving yourbusiness or career forward.
But having a plan for every dayof the week.
Is truly impactful and saves youso much time.

(07:54):
So you're not wasting itdeciding what to do, and you can
actually get down to the work.
You don't have an ideal week, atleast spend some time Monday
morning.
Blacking out the pockets of yourweek, where you don't have
meetings.
And assigning that time tostrategic work.
This guarantees that you don'tspend that time catching up on

(08:16):
email or getting bogged down bythe busy work.
And you truly have a plan toleverage that time to move you
forward.
Because if we continue in thebusy work, onesy, twosy, little
things, That other people areasking of us, but aren't moving
us forward.
We'll never truly use that timeto push us toward our goals.
And so that is the idea ofhaving a structure and a plan

(08:39):
for your week so that when timebecomes available.
You know what to do with them.
So that's system number two.
And system number three, youneed to bring yourself clarity
and structure to your week.
Is to create some time toreflect on that week.
The military does an afteraction review.
After every mission, they do, nomatter how many they have done,

(09:02):
because they know even the bestlaid plans can fall apart when
you hit the ground.
And so can our plan for ourweek.
But by analyzing what's workingand not, we can try to avoid
some of the same mistakes movingforward.
If we don't take this time out.
We never take the opportunity tolearn from our mistakes and we
might continue repeating them,which is the definition of

(09:24):
insanity.
So.
Schedule half hour, either on aFriday afternoon, sometime over
the weekend or on a Mondaymorning to truly ask what were
my goals for last week?
Um, how far did I get on them?
What worked for me and whatdidn't and how can I learn from
that?
And move forward next week in amore optimized way.

(09:44):
So I don't waste time and I cantruly leverage the time that I
have.
This is so important.
I have done a whole episodeabout it.

The outlines, the weeklypreview.
I'll also put a link in the shownotes.
But ultimately having a systemto ask what worked well.
What didn't and why can be agame changer?

In terms of optimizing your timeso you can move forward and
spend it better.
Next week.
Right asking what can I keepdoing?
What can I improve on?
And he just stopped doing that'sgetting in my way and
distracting me from the mostmeaningful work, making me feel
unaccomplished and unfocusedinstead.
How can I change that?

(10:29):
The clients that I work withthat approach these systems.
As an experiment.
Let me try it on and see howthis works.
Are the ones that truly see themost crowd Gress.
Trying the daily big three.
Even if you think you need to domore than three things today.
I can be game-changing.
Because it's just one step inhelping you focus on the most

(10:52):
important work, trying an idealweek or some kind of plan for
blacked focus work can reallyhelp you save time and deciding
what to do.
And doing a weekly preview.
So you can learn from yourmistakes can really give you
insights, even if just onenugget to optimize for next
week.
So I'm working with a businessowner who came in telling me I

(11:13):
feel so scattered in anorganized and everything people
ask me for.
It's just another to do on mylist.
How do I get above the fold andfeel like I get out of reactive
mode?
And what we did was help herimplement these three systems.
And now she is running like awell-oiled machine.
Using and leveraging these tomake the most of her time.

(11:36):
And now when she gets requeststo do things outside of work, it
doesn't feel overwhelming.
Like one more thing to dobecause she's able to put the
work on the shelf.
And shut it off and go enjoylife outside of it.
And ultimately that's what Iwant for all of you.
And that's what these systemsallow you to do to help you save
time, to make one time decisionsthat make all other future

decisions easier because youdon't need to decide.
Uh, repeat or reinvent thewheel, but you can instead spend
that time doing the work so youcan shut it off and prioritize
what matters.

So I promised you a way toprocess email more quickly, so
you can actually get to the mostimportant work.
Do you feel like it takes youfor ever to process your email?

(13:44):
I talked to so many clients whosay that email is the bane of
their existence.
Here's a way you can cut down onthe time.
It takes you to process email.
Close your email during the day.
I know it sounds simple, butrather than keeping your email
open all day and using it as ato-do list, you open it once in
the morning for say 30 minutesand set a timer.
And once before you close yourday for 30 minutes and set a

(14:06):
timer.
Email is meant to becorrespondence.
It is not meant to be your to-dolist.
So before you say Jenna, there'sno way I can do that.
You only answer the emails thattake two minutes or less, you
are processing.
Communication.
If processing that email's goingto take you more than two
minutes.
You schedule that to do forlater, when we work out of our

(14:27):
email, it can be sooverwhelming, just like another
to-do list, like we've talkedabout today.
So rather schedule that work foranother time.
Could it in your electronic taskmanagement system, but don't
leave it in your email to stareat and overwhelm you.
These 30 minutes are forprocessing communication.
They are not meant for doing thework.

(14:48):
Doing the work is then what youwill do in between your email
times.
All right.
By keeping your email closedduring the day and processing
quick communication, schedulingtasks out of your email to do
sometime throughout the day orlater that week.
You will reclaim.
So much of your time.
And your sanity.

(15:09):
