(00:00):
Everyone from David Allen toJames Clear swears by the two
minute rule productivity hack.
If it takes less than twominutes, do it immediately.
It sounds logical, it feelsproductive, and millions of
people follow this advicereligiously.
But what if this popularproductivity rule is actually
(00:20):
keeping you a little bitscattered and unfocused?
Hi, I'm Cindy Gordon, aself-made entrepreneur, busy mom
and reality check method coachfor entrepreneurs.
I've built and sold multipledigital businesses, and I've
watched the two minute rule turnbrilliant business owners into
productivity Pinballs.
(00:41):
Bouncing from Tiny task to tinytask while their big strategic
work sits untouched.
In the next five minutes, I ambreaking down why this Beloved
Productivity Hacks sometimesfails entrepreneurs and sharing
my reality check approach tohandling small tasks with
without losing focus.
I'll mention a prioritizationframework that helps prevent
(01:03):
task switching, chaos.
If you like those types of tipsand tricks and productivity
strategies, make sure you are onmy email list.
Link in the show notes.
This is what I've seen.
You follow the two minute rulereligiously checking off dozens
of tiny tasks daily, but you'renot really making progress on
(01:25):
the work that actually growsyour business.
You feel busy and productive, but your strategic projects
remain stalled.
So here's what's happening.
You're stuck in deep work mode, maybe writing a proposal,
planning a launch.
When you notice an unread emailand you think, oh, this will
just take two minutes or so torespond.
(01:47):
So you switch.
Then you see an invoice thatneeds filling.
That's two more minutes.
You switch again, and then asocial media comment that needs
reply.
Two more minutes and anotherswitch.
By the end of the day, you'vecompleted 22 minute tasks and
feel incredibly productive thatthat strategic project.
(02:08):
It's still sitting there, andtomorrow you're gonna wonder why
your business isn't growingdespite being so productive.
Every time you switch betweentasks, even for just two
minutes, your brain needsrecovery.
Time to refocus.
Researchers call this contextswitching cost, and it can take
(02:29):
up to 23 minutes to fully regaindeep focus after an
interruption.
That two minute email responsedidn't just cost you two
minutes.
It actually costs you the timeto get back into the flow on
your important work.
Do this five times in a day, andyou've lost hours of productive
focus time, not just minutes.
(02:51):
Plus, our brains are wired toprefer small, immediate wins
over larger delayed reactions.
So completing a two minute taskgives you an.
Instant dopamine hit and a senseof accomplishment.
We like that.
It feels more rewarding thanstaying on task, focused on a
big, complex work project thatmight take weeks to complete.
(03:13):
So the two minute ruleaccidentally exploits this
cognitive bias, making youchoose easy over important.
So here's how to reality.
Check your task management sothat you can stay focused on
what actually matters.
Start with this question.
Ask yourself, is this taskmoving my business forward, or
am I just moving tasks around?
(03:35):
Be brutally honest withyourself.
Organizing your email folderfeels productive, but it's not
growing your revenue.
Okay.
Updating your social media biofeels important, but it's not
serving your clients.
Next, batch your two minutetasks into focused blocks.
Instead of doing themimmediately when they pop up,
collect them in a listthroughout the day and then
(03:58):
handle them all at once during adesignated admin block.
So maybe 30 minutes after lunchor at the end of your workday.
And finally, protect your deepwork time like it's a meeting
when you're working on strategicprojects like content creation,
business planning, client work, treat small tasks like
interruptions, notopportunities, because that's
(04:20):
exactly what they are.
When you're tempted to justquickly handle that two minute
task, remind yourself.
Quick tasks are often focuskillers.
Write that down, put it on asticky note.
Make it your mantra.
Build this into your routine bycreating tasks, switching
boundaries.
Maybe you only handle two minutetasks, the first 30 minutes of
(04:42):
your day or the last 30 minutes.
Maybe you designate specificdays for admin tasks versus
strategic work.
The biggest obstacle here isactually fomo.
Fear that delaying a two minutetask will cause problems.
But here's the reality check.
Very few things are actuallyurgent.
(05:03):
That email, it can wait threehours.
That invoice can actually befiled tonight and the world.
Will not end if you batch yoursmall tasks instead of
scattering your attention tomaintain momentum.
Celebrate focus over completioninstead of counting how many
tasks you finished.
Celebrate how long you focusedon important work.
(05:25):
Track your deep work hours, notjust your completion rate.
If you take one thing away fromtoday, here is what I want it to
be.
Productivity isn't about howmany tasks you complete.
It's about completing the righttasks with focus and intention.
The two minute rule might workfor personal productivity, but
(05:46):
entrepreneurs need strategicthinking time, not task
switching.
Chaos.
You need to reality check whichproductivity advice actually
serves your business goalsversus which advice just makes
you feel busy.
Your action step for today isthe next time you are tempted to
handle a quick two minute taskwhile working on something
(06:09):
important, I want you to writeit down instead, batch it for
later.
Your focus work and yourbusiness growth will thank you.
Now go protect that focus, likethe valuable resource it is.
