Hey, and welcome back to the Boutique Practice Podcast Friend.
You might hear the word systems that instantly think rigid, boring, not for me.
Maybe you saw the title of this episode and you were like maybe we'll skip this one.
But here's the truth.
Systems are one of the biggest ways you can create more margin in your business and your life.
And when I say margin, I'm not just talking about empty space on your calendar, breathing room to be flexible.

(01:28):
Live your life and say yes to the things that matter most without your business or your home falling apart in the background.
So this is crucial to a boutique practice, especially if you are, like I said, working part-time and wanting to maximize the potential of your business and your time.
And so in another episode, I actually talked about why margin is so important in your schedule, in your mind, and in your relationships.

(01:52):
Even, especially financially.
And one of the best ways to create margin, especially in your schedule and your mental bandwidth, is to systematize as much as you can in both your practice and your home.
And this is exactly what we teach our students inside our boutique practice mentor mind.
'cause y'all, we don't just talk about systems, we give you a ready to use template.

For creating simple ones plus a checklist for the exact systems you need for a boutique practice.

If you didn't already know, systems matter, but why do systems matter? A system doesn't mean, first of all, I wanna dispel some this here.

(02:39):
A system doesn't mean you're chained to a rigid process.
It's simply a way of reducing decision fatigue so you can stop carrying every single decision in your brain.
Y'all.
When I realized I was burnt out, it wasn't just because of patient volume.
'cause honestly, I had very little patient volume compared to most practitioners.
It wasn't the volume at all.
It was because I was holding all the decisions in all the all of the steps.

(03:01):
I was the bottleneck of my practice, and my personal life.
And even though I had some systems in place, they weren't really clear.
They weren't simple and they weren't easy to find.
And that made them.
Basically useless because when I went to go hire and build a team, it was like, okay, let me, I felt like I had to revamp and redo everything because I was practicing with my husband also who was in the space, but we were almost operating like two separate businesses in one, and we had different systems in ways of doing things, and we just, we really weren't clear on the one way to do it.

(03:35):
So trying to hire team members and having them work between the two of us.
Became a problem because I would do it one way and he would do it his way.
And while I had it written down somewhere in this folder and he had his written on a piece of paper and then it was here and it was there and they were all over the place.
When it was just us, we were well-oiled machine 'cause we just operated the way we operated.

(03:57):
But bringing people in made it quite challenging.
It really revealed to us that we did not have as clear systems as we thought we had.
So while we agreed on a lot of the patient process and the way that things went, it was just how we went around.
Operating in the background was not clear at all.
The key to good systems is, number one, to keep them simple.

(04:20):
A good system is this, it is number one, clear.
It's simple, and it's easy to access in one place in my office that probably looks like a one page new patient process.
So if I were to hire somebody again, or a locum or an assistant, they can find it, simply pick it up and follow it without me standing over their shoulder and.

(04:41):
It has to also be simple because if you think about somewhere like McDonald's, they've been run by teenagers for decades, and that is because their systems are so simple that anybody can follow them.
Okay.
So I think my other biggest thing is it wasn't that I didn't have systems and honestly they weren't terribly organized, but.
When they were found, they were complicated and like you had to read and go through one and then it would point you to a different one.

(05:07):
You kinda had to flip back and forth.
And when training new hires, I felt like I had to just overhaul the entire thing.
I had this huge actual manual, it wasn't act actually printed out before to print it out.
I had this huge manual on how to run my practice.
But it wasn't functional because it wasn't simple.
So how do we create and store our systems? Personally, I will say I like to have it all digital.

(05:33):
Because if it's a one-off process, I might record something quick on Loom or, a video and then store it, as a link inside of my SOP on a Google Drive sheet.
Simply for the fact that it makes it so much easier to be able sometimes to just asynchronously teach somebody how to do something and for them to be go be able to go back and do it again and again versus me showing them 15 times.

(06:00):
And so here's the big tip.
You also wanna make sure you only create as many systems as you need.
Too many systems get overwhelming.
And I think that's really what happened when I brought my husband is I had way too many systems.
It was way too busy.
And just, I know the way his brain works is he was just like, I'll just figure it out.
And ended up creating his own way of doing things.
And that ultimately created that problem that made it challenging for us to work with team members together.

(06:26):
Because we were.
All over the place really by, after a couple of years, we were building a practice or building a business is like flying a plane, while you're building it.
And while that is definitely the case and can be the case, you still should come down for maintenance.
I was like a spirit airline.
I was like is this thing gonna stay up for two months longer? And that's the what happens.
Lord said, sit back down.

(06:47):
Let's get realigned.
Let's hope is, let's make sure we're all going in the same place at the same time.
You need to focus on when you create systems, especially in your practice, the ones that are gonna save you time, money, and mental energy.
Okay, so here's five key places to create systems.
Okay? These are gonna make the biggest impact, I think, and they, at least they do for me.

(07:08):
And I can see a lot of people who are making these changes, see this change, see the impact.
So the first one is obviously practice operations.
Like we're talking about boutique practices, right? You need to have a new patient process, a payment collection, follow up protocols, marketing workflows, all of those things.
And they need to be simple though.
Okay? Simple SOPs on how to handle patients and clients and.

(07:33):
It can be honestly one workflow.
If you think about the funnel to how they come to know you and come to see you all the way to how they potentially exit your practice, if you don't see people for ongoing wellness care, like what does that look like? And when you have that all in place it makes life so much simpler.

(07:54):
But not only that, it makes it easier for your patients to be able to move through the flow.
Like they know what to expect and what to do, and you actually start training your patients.
And that leads me to number two, which is your patient experience, how you onboard, how you deliver care, and how you communicate between visits.
So these operations are so important and they really.

(08:18):
Or what allows a boutique practice to be a boutique practice, to be able to have a practice if, whether you have a front desk person or a virtual assistant or not, to be able to be streamlined to where you could say, Hey, I'm gonna work 10 hours a week, seeing 10 pa seeing if you see one person hour, 10 patients a week, do you really need an assistant for that? Probably not.
Not if you build out a robust enough automation and machine.

(08:44):
By robust enough, I don't mean complicated, but.
Like con, like it's built with contingencies.
In another episode, we talk about our patient avatar and we talk about the psychographics of that patient.
If you wanna go back to that episode, I highly encourage it because patients who have the psychographic of like they are ready to go, they will move through your processes and your systems if you give them enough information on how to do it, to where literally you don't really need a front desk, you don't need anybody but yourself.

(09:12):
If you don't want you might want a virtual assistant, but.
Honestly, whenever somebody has stepped out of my systems, have come into my practice outside of my set way of doing things, it always becomes chaos.
Always becomes chaos.
I have one friend, I love her to death and she refers patients to me all the time, but she always refers them by texting me, my texting them.

(09:35):
My cell phone number, my personal cell phone number, and I'm like, I love you dude, but please stop group texting me with people.
Number one, I don't want my personal cell phone number out there to everybody in the world.
Number two it, it throws the entire process off and then it usually always ends up and them not coming into the practice anyways because they're outside of the flow and they're outside of, they don't know what to expect.

(09:59):
They don't know what it's gonna they're basically colder than cold leads.
When they come, when people are outside of my flow, my organization.
So it's crucial for your patient experience to be systematized.
Number three, third place you wanna have systems is in your home.
Girl, if you're listening to this, I'm assuming you're likely a mom or you wanna be a mom one day and you got a lot of business to handle.

(10:22):
You got kids, you got a home to manage.
You got, you've got your practice.
Maybe you work, serve at church.
Maybe you manage a team at church.
Maybe you coach a soccer team like I do right now.
You got a.
Going on.
And so the more you can systematize in your home, the better think morning and bedtime routines for your kids.
Weekly cleaning schedule and meal planning, or meal prepping at least.

(10:45):
This also leads to the fourth one, which is your family life.
This looks like chore charts and daily checklists.
This looks like what happens when kids get up first thing in the morning and when they go to bed what do they do when they come home? All of the things.
And in my family we have been building more and more systems on a regular basis for my kids because it really takes the chore out of having to answer the same question 15,000 times that they already know the answer to.

(11:15):
If y'all have kids, it's do I brush my teeth this morning? No, you just only been doing that your entire life.
Yes.
Brush your teeth this morning.
So it allows for them to also build independence.
While you train them up on how to operate in the world, because one day they're going to be adults and they are not gonna have you right there telling them what to do every single minute of every day.

(11:38):
So we wanna help them foster independence while also giving you more freedom.
This also looks like chore charts, like I said for your family life, you might have tour charts.
School checklist.
What happens when you leave the house and when you come home? Those are all important.
And then the fifth one is your marriage and key relationships.
Yes, y'all, it is good to systematize that, and I'm not saying to be cold and boring with it, but having regular check-ins with your spouse, date night rhythms and how how you plan your quarter and your year as a family are all conversations we need to be having on a regular basis.

(12:15):
Now I'm here to tell you I am not perfect at all of these.
I'm still working on them too.
But the more you dial them in, the more freedom they create.
Okay? I used to be someone who really did not like systems.
But the more that I've done them, and I'll tell you in a minute like what it actually looks like, it is so worth doing.

(12:36):
Okay? I just wanna tell you all a story.
When I was actually scaling my practice and scaling it the wrong way, one of the biggest drains was that, like I said, nothing was documented simply.
And every time I brought someone in and it was hours and hours of retraining, re-explaining, and fixing mistakes, and once I went back and simplifies my systems, everything changes.

(13:00):
So if you want those same results.

I don't know.
I know you don't have hours spending tinkering with project management tools.

So it doesn't take months and months.
Y'all, it used to take, you could hire someone.
With HR experience to help you build out your business manual and how you do all the things, and usually it would take six months to a year.
I am going to show you how you can create the systems and the machine that is your practice that does the heavy lifting for you, but I'm also gonna help you document it.

(14:34):
We know not only what happens, how things happen, but also to troubleshoot when things go wrong.
And so we're gonna do that inside the mentor mind.
Okay, so here's the thing.
When it comes to systems at home, I use systems with my kids.
Honestly, my my almost 8-year-old and 5-year-old have printed morning checklists and it's not pretty, honestly, it's just, I went to Canva and I made infographic for them.

(15:01):
It's on one sheet of paper, and both of them know exactly what to do, and I leave it up until.
I don't have to repeat myself multiple times and remind them to go make sure they checked off their checklist and the routine is the same every single day.
They get up, they go to the bathroom, wash their hands, brush their teeth, get dressed, put pajamas in the hamper, make their bed and grab their water bottle and come downstairs and I take it to the wall.

(15:25):
It's not cute, but it's effective.
And guess what I can say.
Now my kids, every single day they have another checklist once they come downstairs as far as their morning chores and things to do, get get their shoes on, get their all the things together.
Brush their hair for school, that now takes 15 minutes for us to walk out the door.
Whenever I say, Hey, it's time to walk out the door.

(15:46):
If I randomly say, Hey, let's run to the store.
Hey, let's do this, or let's do that, they are ready to go.
And it's as simple as, okay, these are the things I do before I leave the home.
So I'm not herding cats trying to get us to go somewhere.
So systems.
If you've been wondering I just, I don't feel like I can do that.
I want you to know the systems don't take away their freedom and actually gives them more because they get ready faster.

(16:08):
We have less conflict, and they have more time for fun.
So I wanna give you like another, like just a visual 'cause that's how my brain works, on how this actually gives you more freedom.
My pastor actually recently said that the Lord gives us freedom, but he also gives us boundaries.
And with those in those boundaries is where we get to enjoy the freedom.
I think about it like a dog.

(16:29):
A dog without training a leash or a fence, can't enjoy being outside on their own because it's.
Dangerous.
But with those boundaries, they can run, they can play and they can explore safely.
And it's the same for us.
Our systems and our boundaries create more freedom in our business and in our personal lives.
So they remove you from the constant drain of having to make decisions all day long.

(16:52):
It prevents that decision a lot of us feel.
And so you have more energy and more creativity.
For your relationships, for rest, for all of the things that we are desiring when we build a boutique practice.
And so if you want a boutique practice, one that is part-time and profitable, especially if you want it to be profitable, you have to have systems.

(17:14):
You have to have, not just your patient flow and your systems.
You also have to have systems in how you support people, how what you, what your offers are.
Clear designed offers.
That is a system within a system and that's how I can see patients for only four hours a week and spend maybe two hours on business tasks and still have a thriving profitable practice systems make that possible.

(17:39):
Okay.
So I just want to in this episode just letting you know a little bit about what is coming up and the next one, which is going to be super, I think.
