First up, how about those emailresponses from clients that are
essentially a waste of internetbandwidth?
You know the ones, where theyask for something but don't give
you all the details you need toactually deliver?
It's like they expect you toread their mind.
Well, AI can help you channelyour inner telepath.

Feed the client's email into AIand ask it to generate a list of
specific questions based on theproject type or the information
that's typically needed.
Sometimes you just need thecheat sheet for asking better
questions to get the clarity youneed to answer their question.
Next, what about those timeswhen you've written an update
email to a client, um, but it'slonger than a CVS receipt?

Obviously, they're never goingto read something that long, but
you finally got all theinformation in there, and it
seems impossible to remove anynow.
Use AI as your objective editor.
Put in your draft, and ask it toshorten it by focusing on key
points and removing unnecessarydetails.
It might take a few iterations,but worth it to get something
the client will actually read,rather than another ignored

Now on to those awkward momentswhen you have to deliver some
not so great news to a client.
Maybe the cabinet hardware theywere in love with is no longer
available, and you need toschedule another meeting to
choose an alternative.
Crafting that messaging is a bitof a tightrope.
You want to be informative andempathetic, but also persuasive

enough to get them to listen.
to take action.
AI can help you strike thatbalance.
Have it create a first draftthat clearly explains the
situation and encourages theclient to schedule a meeting.
You may decide that a phone callis the right first move, but
then you can follow up with thatemail.
All right, so then finally let'stalk about those regular client
communications that your teamsends out.

Project updates, orderconfirmations, installation
status reports, the list goeson.
Consistency is key, but craftingtemplates for each of those
cases from scratch can feel likea daunting task and you already
have too much to do.
That's where AI can come in.
Have it generate templates foreach type of communication,

ensuring that all the necessaryinformation is included and the
tone aligns with your brandvoice.
Bonus points if you first use AIto create a brand voice document
so that team members can use itand any new AI session can be
trained using that document.
With AI, you've got a templatefairy who sprinkles consistency

Now, as I've mentioned in prettymuch every episode this season,
AI is a tool, not a replacementfor your human touch.
Always review and customize anyAI generated communications to
ensure they fit the specificneeds of your client and
project.
