So if your trainer has a TAEfrom 2017 and no current
industry engagement, or if theirexperience doesn't map to every

Okay, let's get practical.
If you're not sure where tostart, here's my trainer
credential audit process, thesame one we use at Vervacity.
Step one collect everything.
Ask your trainers to providecopies of qualifications and
transcripts, resume and orrecent employment verification.

Evidence of currency eg payslips, letters from employers,
contracts, tae evidence andupgrade history.
Professional developmentactivities formal and informal.
Step two create a trainerprofile.
This is a summary of eachtrainer's vocational competency,

training and assessment,competency, industry currency,
pd and professional engagement.
Step three map to units Usingour free trainer credential
mapping template.
Link each unit of competency ontheir current schedule To their

evidence, evidence ofexperience, qualifications and
industry knowledge.

and what they're delivering.
Step four store everything inone place.

well-organized and versioncontrolled.

These are becoming increasinglyvaluable and can demonstrate

Pro tip keep a short formsummary document for each
trainer, like a one pager thatgives a high level overview at
audit time.
Think of it like a trainercheat sheet.
Common credential compliancegaps to avoid.
Now I wouldn't be doing my jobif I didn't highlight the most

common gaps I see in RTOs acrossAustralia.
Number one outdated TAEdocumentation.
Some trainers never uploadedtheir TAE 40116 or TAE 40122
upgrades or they're missing theLLND assessment design units.

Number two old vocationalexperience Trainers relying on
experience from five years agoor more, with no recent current
industry experience.
Not enough anymore.
Number three no unit levelmapping.
Qualifications might lookaligned at the qualification

level, but ASQA wants alignmentat the unit level, but ASQA
wants alignment at the unitlevel.
Number four missing PD logs.
Many trainers attendconferences or PD but never
formally record them.
Number five trainers unaware ofnew requirements.
If your team has had aninternal briefing on the 2025

changes, they're likelyoperating on outdated
assumptions.
