management tool to another, feeling like you're spinning
your wheels and getting nowherefast?
Trust me, I have been there too.
So today I'm pulling back thecurtain on my journey through
the tangled web of productivitytools and sharing the game
changer that revolutionized mybusiness Mondaycom.
(00:21):
Picture this a tool thatdoesn't just track tasks but
actually empowers you tostreamline your entire workflow,
boost your team's productivityand elevate your business to the
next level.
Sounds like a dream, right?
Well, it's real, and today I'mgoing to show you how you can
tap into its full potential.
(00:42):
Plus, I'll share how you cancut the learning curve in half
and start seeing results in notime in your business.
Welcome to the Mind your Timepodcast.
I'm Shannon Baker, yourcoffee-loving host and business
strategist.
Each week, I will sharepractical insights and bold
strategies for six-figureentrepreneurs looking to clean
(01:02):
up their back office and createstreamlined systems.
The weekly episodes will helpyou take control of your time,
scale your business and createsuccess on your own terms.
So grab your cup of coffee oryour favorite beverage and let's
dive into today's topic.
Well, today we're diving into atopic that is near and dear to
my heart, and that's finding theright tools to streamline your
(01:25):
business operations and boostyour productivity.
Now, if you're like me, you'veprobably spent time and maybe a
bit of money, or a lot of money, trying out all sorts of project
management tools, eachpromising to be the ultimate
solution.
The problem is, sometimes thesetools don't live up to the hype
or they only get you part ofthe way to where you want and
(01:50):
need to be.
And, let's be honest, whohasn't felt a bit overwhelmed by
all of the options out there?
But I want to share my journeythrough this landscape,
highlighting the wins, thefrustrations and, ultimately,
let you know why I chose to gowith mondaycom as my really
go-to platform for managingalmost everything in my business
(02:14):
and why I set up and clean upMonday for my clients.
So let me start by telling you alittle something about me If
you're new to this podcast.
I am a total tech geek, but Imake it a point to learn the ins
and outs of whatever tools arein my tech stack so that I can
help my clients and members ofthe Mighty Society membership be
(02:39):
more efficient when using thesetools, and I definitely love
helping my clients and theirteams use their tech tools more
efficiently.
Personally, I feel it's veryimportant to work with someone
who knows the tools that you useinside and out, before you go
hopping from one platform toanother, missing out on its full
(03:00):
potential.
Now, I am not one to recommenda tool to anyone just because I
can earn a commission off of it.
That's just a perk.
When I recommend a tool, it'sbecause I know what you want to
accomplish.
I know how you currentlyoperate and what you need to do
to get to where you want, and Imake recommendations based on
(03:22):
all of that data and more.
Now that I've gotten that offmy chest, let me take you back
on my journey a little bit.
When I first started exploringproject management tools, I
started with Asana, and at thetime I absolutely loved it.
I loved it so much that Ibecame certified as a workflow
specialist.
(03:43):
Now, while Asana worked greatfor a while, it did have some
limitations.
I got really frustrated becausethe columns were rigid and I
couldn't adjust them to match mybusiness needs.
So I really started to feellike I was trying to fit a
square peg into a round hole, and as my business grew and
evolved, this just wasn't goingto cut it.
(04:05):
Not being one to give up easily.
I then turned my attention toTrello and I'll be honest with
you, I was really drawn to thistool because I knew a lot of
people in my network that wereusing it.
But really I like that you canmake it pretty.
The visual aspect that comeswith Trello is great and it
(04:26):
seemed like it was a perfect fitand really it was at the time.
So I invested in some minicourses to make sure that I
could get the most out of it,and for a while Trello and I
were a match made in heaven.
But again, as my business grewand my need for automation
increased, I realized Trellowasn't quite the whole solution
(04:50):
that I needed.
Now there are a number ofautomations built into Trello if
you know how to use them, buteverything that I needed wasn't
available inside.
So Zapier came along to save theday, but that really turned out
(05:10):
to be like putting duct tape ona leaky pipe.
You know it's only a matter oftime before it all comes
crashing down.
Sometimes it can even be hardto update a step in your Zap
recipe, and that can have adomino effect if you do the
wrong thing.
So I started searching foranother solution.
Enter Airtable, the love childof Trello and Google Sheets, and
(05:36):
I loved both.
It was very functional and letme tell you, once I got into it,
I was hooked.
But it also came with alearning curve, which was
frustrating, fortunately for me.
At the time, I stumbled acrossa course called Airtable Like a
Boss, and it was definitely agame changer.
And after completing just 20%of that course, I felt like I
(06:01):
was finally in control and Ijumped into Airtable headfirst,
creating a ton of processes andwork bases.
Now, when I launched thispodcast in 2020, airtable was
definitely a lifesaver, becausea podcast has a lot of moving
pieces Scripts, schedules, guestdetails, show notes, timelines
(06:25):
you name it.
It's a lot of stuff, butAirtable allowed me to bring all
of that chaos into oneorganized space.
I was even able to import myGoogle Sheets and set up
automations using Zapier thatconnected my online scheduler to
Airtable and organized my data.
It sent messages based ontriggers and so much more.
(06:48):
And despite all of this and allthat love that I have for
Airtable, something was stillmissing.
Enter my podcast mentor andstrategist, stacey Harris, of
Uncommonly More and the MoreProfitable Podcast.
She had been raving about thistool called mondaycom.
(07:15):
Now, what I loved was thedashboards that Stacey's agency
uses to manage her clients'podcasts.
I really was envious, but shehad a way of making everything
sound very easy and efficient.
So naturally, I had to see whatall the rave was about.
So I signed up for a trial tokick the tires, and let me tell
you my initial reaction was abit mixed.
(07:38):
On one hand, I love theversatility and how seamlessly
it could integrate with a lot ofthe tools that were in my tech
stack, but on the other hand, Ihad invested so much time into
Airtable that I honestly feltlike I was cheating on it, and I
didn't want to have to startover either.
But the more I exploredMondaycom, the more I realized
(08:03):
that it wasn't just a projectmanagement tool.
It was an entire operatingsystem that can transform my
business.
It was like discovering asecret weapon that no one else
knew about.
I mean, imagine having built-inautomations that streamline
your communication, cut downemails, can track your progress
(08:24):
in real time.
It integrates with yourfavorite tools all in one place.
It's a powerhouse ofproductivity.
That is Monday in a nutshell.
One of the things, though, thatreally stood out to me about
Monday is their work OSphilosophy.
They want to give everyone thepower to build and improve the
(08:46):
way their organization or theirbusiness runs.
And it's not just abouttracking tasks.
It's about empowering yourselfand your team to create
workflows that fit your businesslike a glove.
So whether you're managingprojects, running marketing
campaigns, tracking your salespipeline, gathering data through
forms, campaigns, tracking yoursales pipeline gathering data
(09:09):
through forms, mondaycom canadapt to your needs, not the
other way around.
This adaptability really is avaluable feature for business
owners who want to optimizetheir operations without being
confined by the limitations ofrigid software.
With Monday, you have theflexibility to customize your
workspace, ensuring that everyaspect aligns with your
(09:29):
strategic goals.
It's like having a digitalworkspace tailored right to your
business, and it really is,because that's the way you can
build it out.
Now.
We all know how important it isto be intentional with our time
, so that you can show up atyour best where you need to be,
when you need to be there, especially when you're leading a
team.
But Monday boosts productivityby centralizing all of your data
(09:55):
, tasks, projects andcommunication in one place.
So no more hunting throughendless email threads or trying
to find that one file buried ina sea of folders, because you
can put it all right there inMonday, so it's at your
fingertips.
So let me go on to some of thebenefits.
(10:16):
One of my favorite features, ofcourse, is the automation
capability.
Monday allows you to automaterepetitive tasks, freeing up
time for more important work.
So whether you need to sendreminders, update statuses or
notify team members of changes, monday does it for you
seamlessly.
I mean, imagine setting up aworkflow once and just watching
(10:39):
it run on autopilot.
Setting up a workflow once andjust watching it run on
autopilot that's the kind ofefficiency that saves you time
and brain power and eliminatesthings falling through the
cracks.
Another game changer is thereal-time collaboration feature.
Monday makes it easy for teamsto stay connected, no matter
where they are.
You can comment on tasks, sharefiles, assign team members to
(11:03):
tasks, enter and track deadlines.
You can at mention teammates tomake sure everyone's on the
same page.
I mean, this type of instantcommunication really reduces
bottlenecks and keeps projectsmoving forward without
unnecessary delays.
And all of the communicationcan take place right there
(11:24):
inside your Monday board on eachindividual task.
And if you have emails that areassociated with those tasks,
those can be sent and attachedand stored in Monday as well,
but Mondaycom is also known forits visual appeal.
The boards and dashboards giveyou a clear, at-a-glance view of
(11:45):
your projects.
You can customize the columntypes, the colors, the statuses
to match your preferences, andthis makes it really easy to
track progress and identifypotential roadblocks.
But this visual aspect is notjust pleasing to the eye.
It's a powerful tool formanaging complex projects with
(12:06):
multiple stakeholders or teammembers.
One thing I love about thevisual workflows is the ability
for automations to kick in justby changing the status of a task
.
All you have to do is set theworkflow and it kicks in, and if
you need to change the personin a particular workflow, you
can easily do that and theprocess remains in place.
(12:29):
Now, when it comes to teamcollaboration, monday is
definitely in a league of itsown.
The built-in features aredesigned to enhance
communication, improvetransparency across your team
and foster a collaborativeculture.
So let's go into this a littlebit more.
One of the biggest challengeswhen it comes to team
(12:51):
collaboration is keepingeveryone informed without having
to send a bunch of emails thatjust get lost or just don't get
read.
Bunch of emails that just getlost or just don't get read.
With Monday, all your projectdetails, updates and
communication is centralized, and team members can access the
(13:12):
information that they needwithout having to sift through
multiple emails or text messages.
This ensures everyone has thelatest updates and can be
informed quickly and makedecisions.
Monday also promotesaccountability by allowing you
to assign tasks andresponsibilities clearly.
Each task can be linked to aspecific team member or a team,
(13:35):
and that way, everyone knowswho's responsible for what, and
this transparency reducesconfusion and empowers team
members to take ownership of thework they're assigned.
And in today's digital world, integrating with other tools is
essential for seamless andefficient operations.
Monday offers a wide range ofintegrations with popular tools
(13:59):
like Slack, zoom, googleWorkspace, outlook, gmail and
many, many more.
This connectivity allows yourteam to use their favorite tools
, while they benefit from therobust features available inside
of Monday itself.
And for teams who want tostreamline specific workflows,
(14:20):
there are customizable templates.
So whether you are onboarding anew team member, planning an
event, managing a project launch, launching a new social media
campaign, tracking your sales, there's a template there to
guide you, and these templatesare a solid starting point that
(14:40):
you can tailor to fit yourunique needs.
So let me stop raving about itand actually give you a real
live success story to illustratethe power of mondaycom.
A client of mine was using a PDFto accept applications for
their membership Notice I didnot say a fillable PDF either.
(15:02):
Right away I was able toidentify a number of
inefficiencies in this oneprocess.
There was a delay in gettingthe applications along with the
other documents that requiredthat were required.
Sometimes blocks would not befilled out, so you would have to
go back to the person, go backand forth till you got all the
information needed and then, after a completed application
(15:26):
was received, the room for humanerror came into play, because
the information would have to betaken from that PDF and put
into the Monday board that wasused for tracking the membership
, and we all know that room forerror increases when you have to
read or decipher someone'shandwriting.
Even after this step, there wasa delay in the approval process
(15:49):
because everything wascommunicated through email and I
don't need to say more aboutthat.
So I created a form inside ofMonday that gathers the same
data as the original application, but all this potential member
has to do is click on the linkcomplete the form, which also
(16:10):
asks them to upload the specificdocuments that are needed, and
all of that data isautomatically synced and entered
, removing the human errorelement, and no more wasting
time manually entering data ortracking pieces.
It's all done through this formand it goes into a database
that looks just like an Excelspreadsheet and, by the way, it
(16:31):
can be exported as an Excelspreadsheet.
But in addition to this, there's a complete approval
process that happens onceeverything is submitted and it
all happens automatically rightin Monday as the status
information is changed.
With the built-in automations, everyone involved in this
approval process receives aninstant notification to complete
(16:54):
their part of the process.
This streamlined approachimproved their response time,
improved member care and hassaved them a ton of time,
ultimately boosting theirrevenue.
By automating this one processin moneycom, they gain clarity
and control over this part oftheir operations.
Now you might be thinking well, this all sounds great, but how
(17:16):
do I get started?
Because I don't know how to useMonday or set any of this up.
