(00:00):
your day starts with a plan, andthen a client emergency happens.
An email requires immediateattention.
A team member needs you and bynoon, your carefully plan day is
in shambles, and you arefirefighting, by 5:00 PM you've
been busy all day andaccomplished nothing strategic.
You're not bad at planning.

(00:20):
You are stuck in reactive mode.
And I'm about to show you how toshift from reactive to proactive
so you can finally drive resultsinstead of just putting out
fires.
Hi, I'm Cindy Gordon, aself-made entrepreneur, busy mom
and execution coach.
I built and sold multipledigital businesses, and I'm the
founder of the GrowthCollective, a dollar a day

(00:42):
business support system whereentrepreneurs get weekly office
hours, actionable courses, productivity tips, and a
community that understands thefirefighting struggle.
Here's what I want you to know.
The difference betweenentrepreneurs who thrive and
entrepreneurs who barely surviveis the shift from reactive to
proactive.

(01:02):
And before we dive in, if youare not getting my weekly
productivity tips yet, grab themusing the link in the show
notes.
These tips are the behind thescenes systems that I use to
stay productive while running mybusiness.
Today I am sharing the mindsetshift that helped me stop
firefighting and start drivingreal results in my business.

(01:23):
I see this exact scenario.
Play out time and time again.
You are constantly responding toeverything that comes at you.
Direct messages, urgent emails, team questions, fires that need
putting out.
You're working frantically, checking things off your list,
staying busy from morning tillnight, but here's what's not
happening.
The strategic work, the workthat actually grows your

(01:45):
business, the projects that movethe needle forward, the planning
that prevents future fires.
Instead, you're stuck infirefighting mode and it's
exhausting.
Being reactive feels productivebecause you're busy all day, but
busy isn't the same aseffective, and firefighting
isn't the same as strategic.
When you're stuck in reactivemode, you're letting everyone

(02:07):
else set your priorities andthat's costing you way more than
you realize.
Your brain loves reactive modebecause responding to urgency
feels important.
An immediate dopamine hit whenyou solve something quickly
check an urgent email.
Dopamine hit, put out a fire.
Dopamine hit.
Answer a client immediately, another dopamine hit.

(02:30):
But here's what's happening.
You become addicted to thaturgency.
Your brain starts seeking outreactive tasks because they
provide instant gratificationand instant dopamine hits.
Big picture thinking doesn'tgive that same immediate reward.
It requires sustained focus anddelayed gratification, so your

(02:52):
mind automatically gravitatestoward reactive work, even
though proactive work is farmore valuable, that firefighting
trap keeps you busy and notprofitable.
You are maintaining instead ofgrowing and that overwhelm that
you are experiencing, it'sbecause the reactive mode never

(03:13):
ends.
There's always another fire toput out.
So let's walk through.
How to make that shift.
Take a look at your calendar andask yourself what's actually
strategic versus what's justreactive.
Those client emergencies.
Reactive, strategic planningtime, proactive, responding to
every message and dmimmediately.

(03:34):
Reactive, scheduledcommunication windows that's
proactive.
Protect your proactive timebefore reactive work fills your
day block time for strategicwork.
First thing in the morning, before you open an email, before
you check your messages, beforeanyone else can claim your
attention.
Even if it's just 30 minutes.

(03:55):
That 30 minutes of work movesyour business forward instead of
keeping it afloat.
The game changer here, createresponse systems.
So not everything needs yourimmediate reaction.
Set communication expectationswith clients established office
hours instead of being available24 7.
Build systems that can handlecommon problems without

(04:17):
requiring your firefighting.
Just because something feelsurgent doesn't mean that it
needs your immediate attention.
Most emergencies can wait a fewhours.
Some can even wait a day.
Almost none are trueemergencies.
Build this into your routine bystarting every week with a
little bit of proactive planningtime.

(04:37):
So every Sunday or Mondaymorning, when you are looking at
your week, look at itstrategically.
What are your proactivepriorities?
Block them first.
Then let the reactive work fillin around them and not the other
way around.
The most common obstacle I hearis, but what if my and you
insert what works for yourbusiness clients?

(05:00):
Team business needs me to bemore responsive and on the ball.
Here's the reality check here.
Responsive doesn't mean instant.
You can be an excellent businessowner without being available
every single second.
In fact, you can be a betterbusiness owner when you protect
your strategic time.
Inside the Growth Collective, wework on building proactive

(05:21):
systems in the lessons and inthe weekly office hours.
Because this shift fromfirefighting to strategic is one
of the most valuable changesthat entrepreneurs can make for
long-term success to maintainmomentum.
Notice your reactive patterns.
When do you default tofirefighting?
What triggers it?
Client messages.
Morning chaos, lack of planning.

(05:44):
Once you see the pattern, youcan interrupt it intentionally
here's what I want you toremember from today.
You don't need to respond andact on everything immediately.
You don't need to be in constantfirefighting mode.
You have permission to bestrategic instead of reactive.
So your challenge this week isto identify one reactive pattern

(06:05):
that you are going to shift.
Maybe it's checking email firstthing in the morning.
Maybe it's accepting everysingle meeting request.
Maybe it's responding to yourmessages instantly.
Pick one pattern andintentionally make it proactive.
Being proactive isn't selfish,it's strategic.
And that strategy is whatseparates entrepreneurs who grow

(06:27):
from entrepreneurs who justsurvive you can find me on
exclusively, Cindy, where I amsharing different tips and
tricks daily on Instagram.
When you're stuck in reactivemode, reality.
Check the priorities that you'reactually working on.
Proactive means you shoulddecide what matters.
Stop firefighting and startstrategizing.

(06:49):
And remember, you've got this.

Speaker (06:51):
Thanks for spending these few minutes with me today.
Remember, overwhelm isn'tpermanent.
It's simply your brain's way ofsaying pause and take a little
reality check.

entrepreneurs on Track Link inthe show notes.

Ruthie's Table 4

Ruthie's Table 4

For more than 30 years The River Cafe in London, has been the home-from-home of artists, architects, designers, actors, collectors, writers, activists, and politicians. Michael Caine, Glenn Close, JJ Abrams, Steve McQueen, Victoria and David Beckham, and Lily Allen, are just some of the people who love to call The River Cafe home. On River Cafe Table 4, Rogers sits down with her customers—who have become friends—to talk about food memories. Table 4 explores how food impacts every aspect of our lives. “Foods is politics, food is cultural, food is how you express love, food is about your heritage, it defines who you and who you want to be,” says Rogers. Each week, Rogers invites her guest to reminisce about family suppers and first dates, what they cook, how they eat when performing, the restaurants they choose, and what food they seek when they need comfort. And to punctuate each episode of Table 4, guests such as Ralph Fiennes, Emily Blunt, and Alfonso Cuarón, read their favourite recipe from one of the best-selling River Cafe cookbooks. Table 4 itself, is situated near The River Cafe’s open kitchen, close to the bright pink wood-fired oven and next to the glossy yellow pass, where Ruthie oversees the restaurant. You are invited to take a seat at this intimate table and join the conversation.
